Job Summary

The Part-Time Admissions & Recruitment Assistant supports Atlanta Metropolitan State College¿s Office of Recruitment and Admissions by assisting with both application processing and outreach efforts. This role provides administrative support for admissions applications, student record management, and frontline customer service while also participating in limited recruitment and engagement activities.

The position works under the supervision of the Assistant Director of Recruitment and Admissions and collaborates with full-time staff to ensure prospective students receive accurate information and a positive admissions experience.

  • The position requires accurate and timely tracking of application materials, coordination with academic departments, and data entry into admissions systems.
  • It involves multitasking across multiple systems and adhering to strict deadlines to support the enrollment cycle.
  • Success is measured by the efficiency of document processing, accuracy in records management, and support of team-wide enrollment objectives.

Responsibilities

  • Process undergraduate applications, including downloading and reviewing supporting documentation (transcripts, residency forms, fee payments, etc.).
  • Enter and update applicant data in Element 451 and other admissions systems while maintaining confidentiality (FERPA, HIPAA).
  • Download official transcripts from third-party sites and upload them into Banner Document Management System
  • Monitor application status, track incomplete applications, and follow up with applicants to obtain missing documents.
  • Respond to general inquiries from prospective students and parents regarding admissions processes, application status, deadlines, and basic financial aid information via phone, email, and in person.
  • Check and manage the Admissions email account, responding to inquiries and routing messages to appropriate staff when necessary.
  • Provide basic support during recruitment events, campus tours, and information sessions (occasional evenings / weekends may be required).
  • Enter and update applicant data into the admissions system; maintain accurate and confidential student records.
  • Assist in tracking incomplete applications and communicating with applicants to obtain missing documents.
  • Coordinate with full-time admissions and recruitment staff to support decisions on application status, under established guidelines.
  • Support office organization by maintaining electronic and paper filing systems.
  • Participate in occasional Recruitment and admissions events as needed.
  • Perform other related duties as assigned by the Assistant Director Recruitment and Admissions
  • Required Qualifications

    Educational Requirements

    High School diploma

    Other Required Qualifications

    OR - Associate degree with relevant experience

  • Strong written and verbal communication skills.
  • Excellent organizational and time management abilities.
  • Attention to detail and accuracy in data entry.
  • Ability to work independently and manage time effectively.
  • Required Experience

    Two (2) years of administrative or customer service experience.

    Preferred Qualifications

    Skill : Bilingual

    Experience : Prior experience in a higher education setting. Proficiency in the BANNER system and other relevant software.

    Knowledge, Skills, & Abilities

  • Working knowledge of college admissions processes, including document handling, application tracking, and basic admissions procedures.
  • Strong attention to detail and accuracy in data entry, filing, and records management.
  • Effective written and verbal communication skills; ability to explain admissions requirements and deadlines clearly to students and parents.
  • Proficiency in office software such as Microsoft Office (Word, Excel, Outlook) and the ability to quickly learn institutional systems such as BANNER or other student information systems.
  • Excellent organizational and time management skills; able to prioritize tasks and manage multiple assignments in a deadline-driven environment.
  • Strong customer service orientation with the ability to interact professionally and courteously with diverse student populations, parents, faculty, and staff.
  • Ability to work both independently and collaboratively as part of a team.
