Position Summary
The Hill School seeks a part-time Administrative Assistant for the Counseling Center who also serves as an ad hoc medical chaperone as needed. This professional will be responsible for managing the administrative operations across all areas of The Hill School Counseling Center. The Administrative Assistant is expected to provide some support and assistance periodically to the Wellness Center Team through close collaboration with the Wellness Center Front Office Manager and the Medical Director.
Responsibilities
The primary focus of the Counseling Center Administrative Assistant includes but is not limited to the following :
- Greet students, parents, and visitors who are coming to the Counseling Center.
- Schedule appointments. Assist with electronic health records, reports, and correspondence, protecting student privacy and upholding confidentiality.
- Assist in coordinating appointments with outside referrals. Maintain and record follow-up of student referrals to outside counseling resources. Assist international students with insurance filing for off campus appointments.
- Effectively communicate with students, health & wellness staff, faculty, staff, parents, and off campus providers. Facilitate continuity of care. Coordinate student transportation needs with Wellness Center Front Office Manager for off campus appointments.
- Maintain, operate, and troubleshoot office equipment and electronic health record.
- Support the Director of Counseling and counselors with other projects as may be requested occasionally. Provide additional support when needed to the Wellness Center team or other departments as time allows for special projects and events.
- Drive Hill students to medical appointments and / or hospital visits when a need arises that cannot be otherwise met during the workday. The ideal candidate will be comfortable driving students in a Hill School van as well as sitting with them at these appointments.
Qualifications
Ideally, a candidate will possess at least 3 years of experience in an administrative support position.
The Counseling Center Administrative Assistant must be a detail-oriented organizer, capable of pleasantly and patiently interacting with students, parents, faculty and staff while simultaneously balancing other assigned tasks.The candidate must be team-oriented but able to work independently.T his professional should be comfortable interacting with high school students, especially if the student is in crisis.The applicant will have an acceptable driving record and practices safe driving. Most off campus medical appointments are within a 5-mile radius of campus, but occasionally, a student might visit a provider in Collegeville or King of Prussia.This individual should be compassionate and caring towards a Hill student's wellness experience.Demonstrated success working with diverse student communities is preferred but not required.The ideal candidate must be able to maintain student confidentiality with any unauthorized person inside or outside of the School.The Counseling Center Administrative Assistant should have strong written and oral communication skills as well as a strong understanding of Microsoft Office and Canva.Attitude and Demeanor
