POSITION SUMMARY :
The Development Coordinator provides high-level administrative and strategic support to the Senior Vice President for Development (SVPD) and the Development department. This role combines executive support with key functions in fundraising operations, budgeting, and prospect research. This role will ensure the SVPD operates efficiently while also supporting frontline fundraisers in managing portfolios, moves management, and donor cultivation strategies. Additionally, this role will help foster a positive and collaborative team culture and assist with the implementation of the department’s annual operational plan. By coordinating departmental priorities, monitoring progress toward revenue targets, and supporting meaningful donor engagement, this position plays a vital role in advancing the organization’s fundraising goals.
DUTIES AND RESPONSIBILITIES :
Support for the Senior Vice President for Development
- Provide administrative support to the SVPD, including scheduling, inbox management, drafting correspondence, preparation of materials, filing of expense reports, prioritization of tasks, and follow-up on action items
- Serve as a liaison between the SVPD and internal / external stakeholders, ensuring timely communication and follow-through
- Provide administrative support for quarterly meetings of the Development Committee of the Board of Trustees and the preceding preparatory discussions with the Committee Chair, including scheduling, drafting of agendas, distribution of meeting materials to Committee members, and taking and distributing meeting minutes
- Provide administrative support for biweekly Development department meetings, including drafting and distributing agendas
- Anticipate the SVPD’s needs with foresight and discretion, ensuring they are always prepared and supported
Development Operations & Fundraising Support
Coordinate and facilitate moves management meetings, tracking action steps and ensuring timely follow-up by frontline fundraisersOversee expense budget tracking and reporting for the Development department; assist with forecasting, reconciliations, and financial monitoringAssist in the implementation of the department’s annual operational plan, tracking progress and ensuring accountabilityProspect Research
Conduct proactive and responsive research to identify and qualify prospective donors to support NWS’s fundraising strategiesPrepare in-depth, concise prospect and donor profiles for internal distribution and circulation to the Board of TrusteesCompile thumbnail profiles of expected attendees for all cultivation and stewardship eventsEnsure timely entry, accuracy, and integrity of prospect and donor research within CRMOversee budgeting and management of paid research toolsOther Responsibilities
Handle special projects and assignments as directed by the SVPDAttend performances, donor cultivation events, and community activities as a representative of NWSMaintain a high level of professionalism, discretion, and confidentiality in all aspects of the rolePerform other job-related duties as assignedQualifications
EDUCATION AND EXPERIENCE :
Bachelor’s degree and a minimum of two years of experience in development, nonprofit administration, or related field; an equivalent combination may be consideredPrior experience providing direct support to a senior staff member strongly preferredExperience with fundraising operations, donor databases / CRM systems, and prospect research tools. Knowledge of Tessitura, ArtsVision, iWave, and LexisNexis is an advantageExperience in budgeting, financial tracking, development operations, and / or office management is an advantageKNOWLEDGE, SKILLS, AND ABILITIES :
