Job Title : Coordinator I, II, III
Work within a fast-paced and collaborative team, and seamlessly perform job duties in two areas : Town volunteer projects and programs (estimated 60% of the job role focus) : plan, organize, and oversee volunteer projects and our extensive volunteer network that support Town events and programs. Town events : plan, organize, implement, and oversee various aspects of our current and future events portfolio; assist with the permitting process and oversight of community events; and provide detailed, safe, and customer-focused on-site event coverage. The ability to multitask, apply strong attention to detail, communicate often and effectively, and self-motivate under high performance standards is essential. Your work schedule will vary based on our extensive event schedule and project needs. This position will require working evenings, weekends, a heavy summer schedule, and occasional holidays.
Coordinator I Under immediate supervision, this is the entry-level class in the series. Incumbents entering the class have limited related work experience. Generally, work is observed and reviewed both during performance and upon completion. Coordinator II Under general supervision, this is the journey-level class in the series. Incumbents assigned to this class are expected to perform the full range of work assigned to this class and to work with independence and initiative. Coordinator III Under direction, this is the master-level class in the series. At this level, employees may give directions, establish priorities, coordinate work projects and monitor other personnel or volunteers. Incumbents work independently, exercising judgment and initiative. Employees train other staff on duties and safety practices, may assign and may exercise supervisory authority in the absence of the supervisor.
Supervision : Works directly with and reports to the Events and Volunteer Manager, under the Parks, Recreation, and Open Space Department. Hiring Range : $55,648.00 - $76,978.00 annually, depending on qualifications.
Events Work :
- Plan and coordinate Town events across various Town facilities and event locations.
- Perform onsite event coordination duties such as vendor coordination, volunteer check-in and assignments, site preparation and teardown, logistics coordination, on-site communication, band management.
- Assist with special events scheduling, permitting, and oversight.
- Help develop content for marketing materials, including announcements, flyers, informational bulletins, and other related communication for town and special events, programs and recreational activities.
- Lift, carry, transport and sets up event equipment and supplies.
- Conduct research to maintain a high standard of event execution and to plan future Town events, programs and partnerships.
- Perform administrative duties such as scheduling, preparing invoices and receipts, budgeting, reporting, gathering supplies and equipment, maintaining clean and organized event spaces, etc.
- Schedule and attend meetings (internal and external) as required.
- Enforce policies, rules, and regulations ensuring safe events and facility usage.
- Establish and maintain cooperative working relationships with co-workers, residents, customers, elected officials, community businesses, schools, HOA's, volunteers, vendors, and other partners during events.
- Assist PROS staff with other duties as assigned.
Volunteer Work :
Support the coordination of volunteer projects from start to finish. This includes coordinating and distributing project information, processing and tracking applications, creating volunteer position descriptions and schedules, matching volunteers to suitable projects and duties, overseeing onsite logistics for volunteers at events and during group projects (such as trash clean up, gardening, lite site or facility maintenance, etc.), and writing project summaries.Retain and organize volunteer records.Assists with writing, reviewing, and posting materials needed for advisory committees, including agendas, notes, and items for the Town Board packets.Assist with keeping various associated webpages and calendars updated and accurate using the Granicus suite programs.Assist with organizing and maintaining advisory committee processes and documents (vacancies, applications, appointments, terms, etc).Assist with all necessary logistics, audio / visual, online and meeting details for advisory committees.Knowledge, Skills and Abilities :
Outstanding project management skills : the ability to strategically plan projects six or more months in advance, manage multiple projects at a time, prepare for the unknown, and effectively flow between tasks within different project fields.Excellent problem-solving skillsStrong grasp of current and professional office practices, methods, and procedures.Strong verbal and written communication skills. Ability to compose correspondence and documents independently or with brief instructions or draft from previous documents.High-quality customer service skills both in person, virtual, on the phone, and written.Proficient in Windows software, including Microsoft Outlook, Teams, Word and Excel, and Google products. Physical Requirements of the Job : Must have the ability to lift up to 50lbs in order to assist with moving supplies and equipment related to event set up and tear down as well as the ability and experience driving vehicle pulling small equipment trailer.
Special License, Registration, or Certification Required : Coordinator I Graduation from an accredited college or university with a bachelor's degree in Events Management, Parks and Recreation, Hospitality or closely related field. Minimum of two years of experience performing above and related duties or an equivalent combination of education and experience. Must possess and maintain a valid Colorado Driver's License and safe driving record. Ability to obtain First Aid and CPR / AED certification within three months of hire. Coordinator II Graduation from an accredited college or university with a bachelor's degree in Events Management, Parks and Recreation, hospitality or closely related field. Minimum of four years of experience performing above and related duties or an equivalent combination of education and experience. Possess and maintain a valid Colorado Driver's License and safe driving record. Ability to obtain First Aid and CPR / AED certification within three months of hire. Coordinator III Graduation from an accredited college or university with a bachelor's degree in Events Management, Parks and Recreation, hospitality or closely related field. Minimum of six years of experience performing above and related duties or an equivalent combination of education and experience. Possess and maintain a valid Colorado Driver's License and safe driving record. Ability to obtain First Aid and CPR / AED certification within three months of hire.
