Executive Assistant, New York Magazine – Vox Media Location : New York, NY

What You’ll Do Executive and Editorial Support

Extensive calendaring and scheduling of internal and external meetings, including personal calendaring for the editor-in-chief

Facilitate regular editorial meetings and share resources in an organized system

Occasional international and domestic travel planning with complex itineraries and last-minute changes

Process expenses for executives in a timely manner

Handle meeting requests and office support proactively

Follow through on tasks under deadline pressure while maintaining discretion with sensitive information

Act as a gatekeeper for the executive’s time and attention

Collaborate with Operations Teams (HR, Finance / Accounting, IT, Facilities) on projects as needed

New York Magazine Office Management

Work with Vox Media’s office ops team to oversee daily newsroom operations

Welcome new staff on their first day, set up desks, and orient them to the space

Support office culture and be a go-to resource for team members

Coordinate student group tours with the hosting editor to ensure smooth visits

Provide shipping support and manage in-person office needs

New York Magazine Operations

Manage the magazine’s corporate card and process invoices monthly

Oversee publication and vendor subscriptions and memberships; ensure access for staff

Coordinate and execute monthly all-hands meetings and external gatherings

Who You Are Success will look like :

You are reliable : punctual, regular attendance

You are a team player; no job is too small

Must Haves 2+ years in media with strong industry interest

Experience assisting executives in a fast-paced environment; office management skills are a plus

Strong ethics, integrity, and discretion

Ability to thrive in a fast-paced, dynamic environment with shifting priorities

Experience with Mac, Google Calendar, and Google Apps Suite

Proven ability to prioritize, meet deadlines, and maintain high accuracy

Analytical problem-solving skills and confidentiality in all business matters

Willingness to learn new technologies to improve organizational effectiveness

Independent work capability with initiative and appropriate escalation when needed

This combined role requires a proactive, versatile individual who can switch between executive support and office operations.
