Administrative Assistant
$65,000 annually although wage may vary depending on experience

Key Responsibilities
- Purchasing & Vendor Coordination
- Create, process, and approve purchase orders for warehouse and office supplies and personnel.
- Order materials, packaging, and general office needs while monitoring inventory levels.
- Communicate with vendors to obtain quotes, track deliveries, and resolve order or billing discrepancies.
- Maintain accurate purchasing and vendor records for auditing and reporting purposes.
- Staffing Administration & Reporting
- Manage temporary employee data and time records within UKG (Ultimate Kronos Group).
- Provide weekly wage and hour reports to staffing agencies to ensure accurate payroll processing.
- Office & Employee Support
- Plan and organize employee events, recognition activities, and team celebrations.
- Maintain office organization, including supplies, shared spaces, and communication boards.
- Support management with internal communications, scheduling, and documentation as needed.
- General Administration
- Serve as a primary point of contact for office and vendor inquiries.
- Assist with invoice reconciliation, expense tracking, and reporting.
- Ensure all administrative records and files are accurate, up-to-date, and securely maintained.
- Support other administrative and operational tasks as assigned.
Qualifications
Education : High school diploma or equivalent required; associate or bachelor's degree preferred.
Experience : 34 years of administrative experience, ideally in a warehouse, fulfillment, or logistics environment.
Technical Skills :
Proficiency with Microsoft Office Suite (Excel, Word, Outlook, Power Point).Experience using UKG or similar HR / payroll / timekeeping software.Experience with Coupa a plus or familiarity with purchase order systems.Soft Skills :
Excellent communication (Verbal and Written), organization, and problem-solving skills.Strong attention to detail and ability to multitask in a fast-paced environment.Work Environment :
This role operates primarily in an office setting located within a fulfillment warehouse. Occasional time spent on the warehouse floor may be required to coordinate deliveries, supplies or staff activities.
