Position Summary :
MSM North America is seeking a professional, proactive, and highly organized Executive Assistant (EA) to support the CEO and Executive Leadership Team. This position plays a critical role in facilitating daily executive operations and serves as a key liaison between internal stakeholders, external partners, and government clients.
The Executive Assistant represents the executive office with the highest level of professionalism, confidentiality, and accuracy, frequently managing sensitive and strategic information across a high-compliance, defense-oriented environment. This role requires strong administrative acumen, project coordination capability, and a service-oriented mindset, with the ability to execute high-level responsibilities independently under tight deadlines
Key Responsibilities :
Executive & Administrative Support
- Manage complex calendars and schedules for the CEO and executive leadership team, including prioritization of meetings and deliverables.
- Coordinate all domestic and international travel logistics, prepare detailed itineraries, and process related expense reports in accordance with company and federal guidelines.
- Draft, review, and distribute executive correspondence, briefings, and presentations; ensure accuracy, professionalism, and alignment with MSM branding standards.
Communication & Coordination
Serve as the primary liaison for executive communications with internal teams, customers, vendors, and partners.Support coordination of high-level meetings, conferences, and events, including preparation of agendas, materials, and follow-up actions.Handle confidential and sensitive information with discretion and adherence to compliance and security protocols.Project & Operational Support
Track and report on administrative actions, leadership directives, and project deliverables using shared dashboards or task tracking systems.Assist with coordination of timelines, taskers, and cross-departmental activities to ensure executive-level priorities are achieved.Maintain accurate records, files, and archives consistent with federal and corporate retention policies.Support procurement, vendor coordination, and facilities-related needs for the executive office.Qualifications
Associate's or Bachelor's degree preferred.5+ years of experience supporting executive leadership, preferably within the defense, aerospace, or government contractingStrong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration platforms (SharePoint, Teams, Zoom).Excellent verbal and written communication skills with the ability to produce executive-level documents and presentations.Proven ability to manage multiple priorities in a fast-paced, deadline-driven environment.Demonstrated professionalism, discretion, and integrity in handling confidential information.Familiarity with DoD organizational structures, program environments, and secure communication protocols.Key Competencies

This is a full-time, onsite position based at MSM's St. Petersburg, FL headquarters. The Executive Assistant will regularly interact with company leadership, government partners, and external stakeholders in a dynamic and high-performance environment.
Minimal travel required; may include support for offsite meetings or special events.U.S. Citizenship required. Ability to obtain and maintain a U.S. Government Security Clearance preferred.
