Accounting Clerk
Duties and Responsibilities :
- Process vendor invoices daily and research to ensure it corresponds to quotes.
- Prepare and process subcontractor’s time for payment processing.
- Ensure payments are accurate, efficient, and processed in a timely manner.
- Review and reconcile vendor statements.
- Issue and approve the purchase order in the database.
- Communicate directly with vendors to address billing issues and discrepancies.
- Maintain vendor information and account.
- Prepare and file 1099 year-end payments.
- Assist with month-end and year-end close process.
- Prepare and update the financial dashboard monthly.
- Accounts Receivable collections and additional accounting duties as needed.
- Coordinate with project managers in preparation of monthly AIA billings and process billing correspondence according to project deadline schedules.
- Prepare the Budget and Schedule of Values report for contract projects to support and track progress payment applications.
- Create and assign job numbers for contract jobs.
- Pull an inspection permit as needed on projects.
- Prepare documents for project close-out.
- Maintain the vendor and subcontractor’s Certificate of Insurance.
- Assist with incoming phone calls.
