Medical Staff Serv Coord
Reports to Director, Medical Staff Services. Coordinates and oversees the Medical Staff physician meetings. Develops agendas, attends, and assists chairman to run Medical Staff Department and Committee meetings. Administers Medical Staff activities including, but not limited to, scheduling orientations for all new physicians. Performs Medical Staff Office functions.

Medical Staff Meetings
Develops agendas for Medical Staff Department and Committee meetings.Prepares minutes and completes actions from Medical Staff Meetings in accordance to MSS Dept policy.Attends and assists chairman to run medical staff meetings.Assures medical staff members receive notification regarding upcoming meetings as well as meeting information packets in compliance with department policies.Communicates actions and directions from Medical Staff department / committee meetings to all appropriate hospital managers and directors and other appropriate medical staff groups as well as Medical Staff Services partners when applicable.Prepares and communicates all revisions to Medical Staff Bylaws, Rules and Regulations, Policies, Guidelines and Plans to appropriate Medical Staff Department and Committees for approval.Upon approval of new or revised policies, procedures, rules and regulations, and Bylaws, prepares communication to the MSS Dept to facilitate communication to the MEC, Board of Directors, and effected hospital service areas.Uploads approved or revised policies to the EGH intranet.Administration of Medical Staff Activities
Develops and maintains monthly Medical Staff Calendar and sends out housewide, in accordance with department policy regarding timeliness.Works with internal and external offices to prepare orientation schedules for all new physicians and coordinates scheduling with all hospital necessary departments.Coordinates physician orientation content with all affected hospital departments and prepares orientation materials for physicians.Maintains MSS Dept Master Schedule of medical staff meetings and updates meeting changes and notifies all attendees of updates.Ensures the contact list in the Medical Staff Notice office email is kept current and up to date, as well as the individual distribution lists for each Department and Committee meeting assigned.Sends notices as requested through Medical Staff Notice to Medical Staff and all affected hospital departments / personnel, timely Schedules annual meeting with Nominating Committee and works closely with the Chief of Staff to prepare for elections of the medical staff.Medical Staff Compliance Monitoring
Processes invoicing and collection of annual Medical Staff Dues timely, as required by the Medical Staff Bylaws.Calculates meetings attendance and communicates compliance per the Medical Staff Bylaws at least annually and when requested.Annually provides HIPPA, Code of Conduct, and Corporate Compliance documentation to the Medical Staff and monitor compliance of required signed documentation.Works closely with Employee Health to ensure annual compliance with Flu vaccination requirements and documentation are met.Conducts annual confirmation of current and updated contact information of all medical staff members.Updates appropriate systems such as Morrisey, Med Staff Notice, and designated hospital staff for upkeep of other hospital systems (STAR, Cerner, IT, etc.)Prepares and distributes quarterly Press Ganey reports for physicians.Medical Staff Office Functions
Coordinates monthly physician recognition (Hey Doc you Rock).Maintains current working knowledge of internal medical staff bylaws, rules and regulations, and policies and procedures.Maintains thorough knowledge of all regulatory agency requirements.Oversees catering of all internal medical staff functions.Assists with coordination of medical staff functions such as the annual medical staff chairman / vice chairman informational dinner and other events as they are planned.ORGANIZATIONAL RESPONSIBILITIES

The knowledge, skills, and abilities as indicated below are normally acquired through the successful completion of a High School Diploma or equivalent. Graduate from an accredited commercial secretarial school is preferred. A minimum of one to two years of job-related experience is required. Customer service relations experience is beneficial. Experience with various word processing software packages is preferred. CMSC and / or CPCS Certification with the National Association of Medical Staff Services recommended.Knowledge & Skills
Additional training in accounting and bookkeeping beneficial.Must be familiar with all aspects of secretarial work and be able to respond to duties effectively.Must be able to type using word processing software and use dictating equipment.Working Conditions
