JOB PURPOSE

The Data Management Coordinator bears key responsibility in ensuring that the related older adult programs—Weinberg Center for Balanced Living (WCBL); Sirovich Center for Balanced Living (SCBL); and Cooperative Village NORC meet the data management requirements set forth by the New York City Department for the Aging (NYC AGING). They manage data collection, entry, reporting, and performance monitoring of contractual obligations. The Data Management Coordinator maintains and fully utilizes VIVÉ, NYC Aging’s client information tracking system, as well as other required internal and external databases. Day-to-day responsibilities include data entry, systems analysis, data reporting, and end-user support. This position will also facilitate regular technology group workshops for older adult members. Work will be conducted on-site, with occasional work-from-home days permitted.

SCOPE OF INFLUENCE

  • Employ good data management practices essential for day-to-day program planning, management, and oversight, as well as the provision of emergency response services and urgent communications to older New Yorkers.
  • Collaborate with Older Adult Program staff and the Finance and maintain up-to-date records of participants, accurate tracking of services delivered, fulfillment of contractual requirements, and collection of impact and outcome data.
  • Partner with Older Adult Program staff and the Research and Evaluation team to assess service effectiveness and utilize data to inform future program planning, outreach efforts, and public information strategies.
  • Train and support interns and volunteers who assist with data collection and entry.
  • Direct contact with other EA staff, volunteers, interns, clients, and external partners.

KEY RESPONSIBILITIES AND ACCOUNTABILITIES

Data Management / Systems Management

  • Identify and manage data entry process to provide ongoing monitoring and conduct routine quality assurance in all areas of NYC Aging and EA databases to ensure data integrity.
  • Regularly update all participant data in the communications platform, EA member management database, and government database, ensuring that client records are complete and accurate.
  • Maintain all physical records in good order and adhere to the record retention policies established by NYC Aging.
  • Review updates to databases, troubleshoot data- and report-related problems, and communicate with external government and institutional partners regarding database issues and new features.
  • Partner with Older Adult Program staff and the Research and Evaluation team to develop program evaluation tools—such as member satisfaction surveys— and collect, analyze, and report on impact and outcome data.
  • Work with the Development team to ensure data accuracy and validity of grant proposals and reports.
  • Review data with program managers monthly to ensure validity and quality.
  • Database Maintenance

  • Create and complete client profiles, including scanning and attaching membership applications, consent documents, and other related materials to these profiles (weekly)
  • Enter, review, and file class and special events attendance sheets (weekly)
  • Enter, review, and file congregate meal rosters (weekly)
  • Run reports to accurately record service units and demographics for monthly agency dashboards, all external funding sources, and other documentation of service delivery as needed (monthly).
  • Merge duplicate entries and correct data entry errors (monthly)
  • Set up and remove profiles for group activities (as needed)
  • Assist staff with new database features, day-to-day database questions, and reporting (as needed)
  • Direct Client and Volunteer Contact

  • Train and support interns and volunteers who assist with data collection and entry.
  • Lead regular technology group sessions and / or provide one-on-one technology tutoring to older New Yorkers.
  • Participate in the planning and execution of special events and assist with regular programs as requested.
  • JOB REQUIREMENTS

    Minimum Qualifications

  • Relevant educational and / or professional experience, including experience working with a database.
  • Strong knowledge of Microsoft Office (i.e. Outlook, Excel, Word, etc.) and ability to learn new software.
  • Ability to think creatively and analytically.
  • Information system strategy planning skills.
  • Maintain cooperative working relationships; demonstrate sensitivity to, and respect for, a diverse population.
  • Excellent communication skills, sound judgement, and ability to work autonomously in a fast-paced environment.
  • Demonstrated ability to appropriately handle highly confidential information.
  • Physical Requirements

  • Ability to perform activities such as preparing programs, analyzing data, internet research, and extensive reading.
  • Expressing or exchanging ideas through the spoken word, including activities in which they convey detailed or important instructions to others accurately, loudly and / or quickly.
  • Ability to perform activities that may range from standing, walking, reaching, crouching, and lifting.
  • Ability to sit and view a computer terminal for an extended period of time.
  • Ability to perform repetitive motion activities such as typing.
