Program Coordinator, International Admission
General Scope Of Position : Reporting to the Associate Director of International Admission, the Program Coordinator in the Office of International Admission plays a key role in the undergraduate international admission office by serving as a primary point of contact in the office, overseeing office operations, providing support to the international admission team, and providing general admission and enrollment services designed to meet the needs of prospective, admitted, deposited, and enrolled undergraduate international students.
Duties And Responsibilities :
- Oversees and manages general office communication including the main phone line, email inbox, in-person inquiries, and responds to outside inquiries.
- Collaborate with the Admission Welcome Center and Events Management & Guest Services and other campus partners to coordinate hosting of admission related delegations, international visitors, and other guests to the USF campus.
- Books rooms and plans logistics for international admission events and activities, both in-person and virtually.
- Tracks and processes invoices for payment.
- Coordinates the activities of the International Admissions team, including maintaining travel schedules, scheduling travel arrangements for guests and leadership, and keeping the calendar up to date for the international admission counselors.
- Hire, trains and oversees student ambassadors / student assistants to respond to prospective student inquiries, assist with office operations, communicate with prospective students via social media, and develop creative ways to share student stories and make connections with new admits and prospective students.
Admission And Application Reading Responsibilities :
Assists in initial review and file preparation for international applications for admission.In collaboration with the Associate Director and SEM Operations, provide routine reviews of application materials, reviews applications for completeness and follows-up with applicants with missing or additional required materials. Including the review of financial documents and English Language proficiency documentation for applications.Supports the Associate Director in maintaining training manuals and reading procedure documentation for all admission counselors and outside readers.Marketing, Communications And Data Analysis :
Takes lead on social media development and content creation.In coordination with the Associate Director, reviews the annual communication plan, gathers feedback from the international admission team, and makes recommendations on changes.Collaborates with the Associate Director, SEM Enrollment Communications, and the Office of Marketing and Communication on marketing materials for international recruitment.Assist in the production and dissemination of specially designed international student recruitment materials such as brochures, powerpoint presentations, flyers and marketing materials specific to the needs of your region. This includes translation of appropriate materials.Works collaboratively to further enhance and execute a communication stream for international students.Recruitment Responsibilities :
Works with the international admission counselors, the Associate Director, and SEM Enrollment Communications to plan regional specific admission communications and support.Presents in-person and virtual information sessions and answers the questions of prospective students from all territories.Represents the University to external organizations and associations at local, regional, and national professional organizations.This position will also support recruitment initiatives in other regions as staffing needs and demand fluctuates.Travel approximately 10-15% of the time.Other Responsibilities :
Serves on internal (and external) committees at the discretion of the Associate Director.Performs additional duties and tasks, such as special projects, research, and the development of reports, as assigned by the Associate Director.Other related duties as requested.University Wide Responsibilities :

Bachelor's degree required.Two to three years of demonstrated experience in higher education.Availability to work nights and weekends.General knowledge of the admission application process for international students.Understands the industry and competitive landscape and recognizes the implications for the organization.Demonstrated proficiency using various software applications, and ability to learn new software applications.Ability to be flexible and creative when working in a dynamic environment.Experience working with international students and is familiar with international student experiences including adjustment to studying in the US, common student concerns and expectations.Demonstrated skills in making oral presentations to an international audience through innovative media formats to provide information, instructions, or explain subjects of interest.Experience managing projects and budgets.Ability to work effectively in a strong service environment that is subject to shifting priorities.Demonstrated skill in exercising patience, diplomacy and flexibility in interacting with students and their families.Excellent interpersonal skills, with ability to work cooperatively and efficiently with staff members having overlapping responsibilities.Ability to exercise good judgment and discretion, particularly in matters relative to sensitive or confidential student or organizational matters, and ability to maintain confidentiality in accordance with university policy and government regulations.Ability to work effectively as an individual with minimal supervision and as a part of a team.Understanding and commitment to USF's mission, vision, and values.Strong intercultural communication skills, and the ability to advise and problem-solve around international student issues and concerns.Ability to deal with a wide range of cultures and personalities in a professional and tactful manner and to communicate with persons having varying degrees of English proficiency.Demonstrate experience in working with and supporting a diverse and underrepresented population.Excellent organizational and time management skills, ability to set and meet goals, prioritize workload, handle multiple interruptions and complete a number of competing assignments within established deadlines.Demonstrated ability to work efficiently and accurately on detail-oriented projects and data entry.Preferred Qualifications :
