Position Overview :
As the Leave Specialist, you are responsible for administering employee leaves of absence in compliance with federal, state, and company policies. This role serves as the primary point of contact for employees and managers regarding leave programs, ensuring accurate communication, documentation, and coordination throughout the leave process. The Leave Specialist works closely with HR, Payroll, Benefits, and managers to deliver positive employee experience while maintaining compliance and minimizing organizational risk.
Responsibilities :
- Manage and administer all employee leaves of absence, including FMLA, state-specific leaves, ADA accommodations, personal leaves, disability, military leave, and other statutory or company-sponsored programs.
- Serve as the subject matter expert for leave-related inquiries, providing clear and timely guidance to employees and managers.
- Review and process leave requests, ensuring compliance with applicable laws and company policies.
- Track leave usage and maintain accurate records in HRIS and case management systems.
- Partner with Payroll to ensure accurate pay during leave periods (e.g., salary continuation, disability benefits, PTO integration).
- Coordinate with Benefits to support employees on leave with insurance, benefit continuation, and return-to-work processes.
- Prepare required documentation and communications, such as eligibility notices, designations, and return-to-work instructions.
- Monitor expiration of leaves and work with managers and HR on extension requests or transition plans.
- Stay current on federal, state, and local leave regulations (FMLA, ADA, paid family leave, etc.) and ensure organizational compliance.
- Maintain confidentiality of sensitive employee information in line with HIPAA and company standards.
- Generate reports on leave trends, utilization, and compliance for HR leadership.
- Support audits and provide documentation as required.
- Educate employees on leave programs, eligibility, and required documentation.
- Partner with managers and HR Business Partners to ensure appropriate coverage during employee absences.
- Facilitate smooth transitions for employees returning from leave, including work accommodations when needed.
- Develop and deliver training or resources to managers on leave procedures and compliance.
Experience & Qualifications
Preferred : One (1) year of experience in Leave Administration.Preferred : Proficiency in office software such as Microsoft Office Suite or Google Workspace.Preferred : Proficiency in English (written and verbal) to effectively communicate with associates and leadershipPreferred : Proficiency in Spanish or Albanian is a plus.Schedule :
