Job description

Federal Work-Study Coordinator serves as a lead for support staff and student employees within the Student Account office. Practices decision-making with principles that are sensitive to the challenges of students in their assigned cohort, while adhering to the U.S. Department of Education and University Student Accounts & Enrollment Services Policies and Procedures.

Additionally, the Federal Work-Study Coordinator serves as the point person for assisting Student Accounts with the process of the Federal Work-Study program for all eligible Delaware State University students. This position works closely with Delaware State University Payroll to ensure students who are participating in Federal Work Study are compensated according to University policies and procedures.

Essential Functions & Required Knowledge, Skills and Abilities

The following are the functions essential to performing this job:

  • Works with senior management to analyze workflow and various processes relating to Student Accounts billing process. Assists in the annual review and revision of the department’s Policies and Procedures Manual.
  • Responsible for orienting and training student workers, and assigning and reviewing their work. May also be responsible for acting in a “lead” capacity over federal work-study student employees.
  • Ensure work times do not overlap with course schedules and students do not exceed maximum hours.
  • Collect, verify, and update payroll and reporting documents.
  • Write a variety of documents, including job descriptions, reports on employment and contracts.
  • Participates in school orientation programs and outreach events.
  • Using creativity, markets the Federal Work-Study program on campus.
  • Follows established policy and procedures for federal work-study during the fall, spring and summer term.
  • Monitors students’ employment and works with the assigned financial aid counselor to increase student’s funding as needed.
  • Works with Federal Work-Study employees to inform them of their responsibilities and serves as the point person.
  • Serves as liaison to the Human Resources and Payroll offices; troubleshoots to resolve missing documents or payroll issues; audits all time reported by Federal Work-Study student employees, and corrects any errors or discrepancies.
  • Develops and updates the student employment website with all necessary forms for students in Student Accounts.
  • Performs other related duties as assigned.

  • Knowledge of accounting and/or payroll recommended
  • Ability to accomplish detailed task and follow a system of procedures and timetables.
  • Ability to work both as a part of a team and independently on projects and assignments.
  • Ability to maintain the confidentiality of information.
  • Ability to establish and maintain harmonious and effective work relations with students, staff, faculty and the general public.
  • Strong analytical skills with the ability to make sound judgments about federal work-study awards based upon comparisons and interpretations.
  • Excellent verbal and written communication, presentation and interpersonal skills.
  • Ability to manage both detailed and multiple tasks in concert with one another.
  • Excellent computer skills to include Student Accounts aid computer applications.

Qualification Standards

  • Education: Bachelor’s degree in a related field of study and/or see experience
  • Successful Experience: Two to Three (3) years of experience in a work-study employee position. A minimum of 2 years’ experience working with the federal work-study program is preferred.
  • Equivalent combination of education and experience may be considered.
