Position Overview
The Scheduling & Communications Lead ensures that the operational schedule, created by leadership, is clearly communicated, accurately distributed, and effectively acknowledges across field and office teams. This role supports daily logistics for deliveries, installations, crane operations, and prep crews by communicating between departments and maintaining accurate tracking. The position requires clear communication, follow-through, and the ability to operate in a dynamic, fast-paced construction and manufacturing environment as part of a team.
Key Tasks and Responsibilities :
- Distribute and communicate finalized weekly schedules to trucking, installation, crane, and prep teams.
- Serve as the central liaison between field crews, sales, drafting, accounting, and operations.
- Collect and organize job information from emails, phone calls, databases, and team members to support accurate schedule communication and understanding.
- Monitor job progress and field updates. Escalate delays or conflicts to leadership.
- Communicate daily with field crews regarding install status, jobsite issues, and schedule changes to leadership
- Manage midweek adjustments when jobs are delayed or shifted and notify all impacted parties.
- Prepare and distribute weekly job paperwork packets to drivers and crews.
- Maintain and update job tracking details using Excel and internal systems.
- Distribute invoices and billing-related documents to builder contacts to ensure timely and accurate payment.
- Gather install and production reports manually. Route for approvals and share relevant data across departments.
- Track and maintain fuel logs, job permits, and site-related documentation.
- Support weekly operations meetings by reporting updates and following through on assigned items.
- Walk the yard or plant as needed to collect documents, perform trailer checks, or coordinate with crews.
- Other duties as assigned.
Skills and Attributes :
Strong verbal and written communication skills with professional phone and email etiquette.Highly organized with excellent time management and task prioritization.Strong problem-solving ability, especially in real-time or unexpected situations.Attention to detail in documentation, recordkeeping, and communication.Team-oriented mindset with a proactive approach to coordination and follow-up.Comfortable working in both an office environment and occasionally walking the yard or plant.Minimum Requirements :
2 to 3 years of experience in operations, logistics, or coordination in a construction or manufacturing setting.Proficient in Microsoft Office, especially Excel.Familiar with Microsoft Outlook.Capable of handling manual data collection and adapting as processes move to digital platforms.Must be able to work on-site during core hours.Additional Requirements :
Must be comfortable escalating scheduling decisions to leadership as needed.Expected to work primarily at a desk with occasional walks through the plant or yard.Will be responsible for managing fuel logs, permits, and weekly install reports.Schedule :
Full-Time7 : 00 AM to 4 : 00 PM, Monday through Friday.Benefits :
