Job Title : Quality Documents Coordinator – Aseptic Dairy
Department : Quality
Classification : Hourly, non-exempt
Reports to : Quality Assurance Manager

OVERVIEW
As the Quality Documents Coordinator, you will own the lifecycle of quality documents and records that keep an aseptic / ESL dairy plant compliant and audit-ready. You will administer controlled documents (SOPs, SSOPs, forms, batch records, aseptic packets), manage change control and periodic reviews, issue and reconcile production records, and maintain training acknowledgments—ensuring the right version is in the right hands, every time. You will partner with QA, Production, Sanitation, Maintenance, and Regulatory to support safe, high-quality ESL and UHT beverages. This position shares responsibility for maintaining Suntado’s food safety, quality and legality program under the BRC / GFSI / PCQI guidelines.
YOU WILL
- Administer the electronic document system (EDMS) and controlled hard copies : numbering, versioning, approvals, effective dates, distribution, and archival.
- Maintain the Master Document Index ; control printing / watermarking and promptly remove / supersede obsolete copies at points of use.
- Coordinate author / reviewer / approver workflows; drive periodic reviews and change control with impact assessments.
- Issue controlled batch records and aseptic packets for production; reconcile / scan completed records and verify ALCOA+ data integrity.
- Manage downtime paperwork when systems are offline (collect, scan, index, and back-enter to EDMS / ERP).
- Maintain the training matrix and read-and-understand acknowledgments for new / revised documents; publish training status to leaders.
- File / retrieve records for deviations / CAPA / NCR , calibrations, sanitation, environmental monitoring, release, and commercial sterility.
- Prepare and run the audit / inspection room (SQF / BRCGS, PMO, FDA / state, customer) : evidence lists, rapid retrieval, and closing packages.
- Support traceability / recall exercises with complete, legible, quickly retrievable records.
- Track and document all Certificates of Destruction (CODs) and logs of destroyed products to ensure regulatory compliance and traceability.
- Track and report document KPIs (on-time reviews, past-due items, training completion, retrieval time); lead simplification / formatting improvements.
Aseptic / UHT documentation focus : SIP / pre-sterilization checklists, UHT time- temperature / holding tube records, sterile-zone differential pressures, HEPA integrity, packaging sterilant validation ( H ₂ O ₂ / UV / heat ) and residuals, container-closure integrity, media fills , commercial sterility holds / releases, and net-content / weight control records.
THE SUCCESSFUL CANDIDATE WILL HAVE
Strong organization and follow-through; able to manage many documents and deadlines in parallel.Clear written communication and formatting skills; ability to coach authors on user-friendly SOPs and forms.Working knowledge of data integrity (ALCOA+) , cGMPs, and audit expectations.Collaborative, service-oriented mindset with the confidence to enforce control of documents and records.ESSENTIAL DUTIES AND RESPONSIBILITIES
Immediately escalate gaps that could impact food safety, regulatory compliance, or certification status.Maintain controlled templates and style guides; ensure records capture required fields, signatures, and lot / date / code linkages.Ensure completed records are legible, complete, contemporaneous , and reconciled ; initiate corrections per SOP.Support CAPA by organizing evidence, approvals, and effectiveness checks; maintain change-control history.Keep areas, files, and systems audit-ready ; execute daily self-checks (indexes, obsolete copy sweeps, file completeness).Partner with Production / QA on batch packet issuance and end-of-run reconciliation; flag missing or late records.Maintain secure archives and retention per PMO / Grade “A” , FSMA 21 CFR 117 , and, where applicable, 21 CFR 108 / 113 .Publish routine metrics and facilitate document / training review meetings.EDUCATION AND / OR EXPERIENCE
High school diploma or GED required; Associate’s / Bachelor’s in a scientific / technical field preferred.2–4+ years in food / beverage document control / records management (dairy / aseptic / ESL preferred).SharePoint (Required) : Demonstrated SharePoint Online expertise for document control, including :Building / managing document libraries , content types, columns / metadata, views, and required fields
Enabling versioning , check-in / check-out, approvals, and audit historyConfiguring permissions (sites, libraries, groups) and records retention / labelsDesigning Power Automate flows (routing / approvals / notifications / escalations)Creating list-based trackers and dashboards; Power BI familiarity is a plusAuthoring templates for SOPs / SSOPs / forms; enforcing naming / numbering standardsExperience with EDMS tools (e.g., MasterControl, Veeva, ETQ) a plus ; our EDMS is SharePoint going forward.Comfort with ERP / LIMS (e.g., NetSuite) for lot / date / code linkage and record indexing.Proficiency in Microsoft 365 (Word, Excel, PowerPoint); PDF editing / scanning / indexing tools.Working knowledge of ALCOA+ , cGMPs, audit expectations, and controlled-copy practices.QUALIFICATIONS
Excellent attention to detail; consistent, error-free data entry and file organization.Strong interpersonal skills; able to guide authors / reviewers and hold teams accountable to timelines.Ability to maintain accurate records to company standards and regulatory requirements.Comfortable with collaboration tools (Teams / SharePoint / instant messaging) for timely communication.PHYSICAL DEMANDS
While performing this job, the employee is regularly required to speak and listen.
