Position Overview :

As our Clinic Administrator, you will be a cornerstone of our Charlotte, NC, facility, driving the operational excellence and administrative backbone of our clinical services. You will be responsible for the direct leadership and management of our Licensed Practical Nurses (LPNs) and Medical Assistants (MAs), fostering their professional development and ensuring the delivery of exceptional, patient-centered care. In this pivotal on-site role, you will also provide crucial administrative and operational support to our Nurse Practitioners (NPs) and Medical Doctors (MDs) to ensure seamless workflows, efficient service delivery, and a collaborative team environment. We are seeking a dynamic and experienced leader dedicated to optimizing clinic operations, enhancing the patient experience, and thriving in a fast-paced healthcare setting.

Key Responsibilities :

Direct Staff Management & Development :

  • Directly supervise, manage, mentor, and evaluate a team of Licensed Practical Nurses (LPNs) and Medical Assistants (MAs), including performance management, scheduling, and disciplinary actions.
  • Foster the professional growth of LPNs and MAs through coaching, feedback, training, and identification of development opportunities to ensure high standards of patient care and staff engagement.
  • Lead regular team meetings and 1 : 1s with LPNs and MAs to ensure alignment on clinic goals, operational workflows, patient care standards, and clinical expectations.

Clinic Operations & Administrative Support :

  • Provide essential administrative and operational leadership and support for Nurse Practitioners (NPs) and Medical Doctors (MDs), focusing on optimizing clinical workflows, patient scheduling, resource allocation, and inter-team collaboration to ensure seamless service delivery.
  • Serve as the primary operational point of contact for clinical workflow issues, providing guidance and support to LPNs, Medical Assistants, NPs, and MDs to facilitate efficient problem resolution.
  • Oversee NP and MD scheduling to ensure appropriate provider availability, clinic coverage, and operational efficiency.
  • Facilitate effective communication and swift resolution of operational challenges impacting all clinical team members.
  • Performance & Quality Assurance :

  • Monitor, analyze, and manage key clinic performance indicators (KPIs), including patient satisfaction scores, patient wait times, appointment fill rates, patient retention, and overall team efficiency.
  • Utilize performance data and patient feedback to identify opportunities for improvement; develop and implement targeted action plans to enhance clinic operations and patient care.
  • Ensure clinic compliance with all relevant healthcare regulations (e.g., HIPAA, OSHA), state and federal laws, and maintain the highest levels of patient privacy and confidentiality.
  • Oversee clinic supply inventory, equipment functionality, and general facility upkeep to ensure a safe and efficient working environment.
  • Collaboration & Strategic Alignment :

  • Collaborate closely with senior leadership and other departments to uphold and advance standards of care, implement best practices, and align clinic operations with broader organizational goals and initiatives.
  • Partner with relevant teams (e.g., HR, Credentialing) to support provider licensing processes, ensuring timely renewals and smooth onboarding for new clinical staff.
  • Qualifications

  • Current license as a Registered Nurse (RN) in North Carolina is strongly preferred.
  • Bachelor's degree in Healthcare Administration, Business Administration, Nursing, or a related field is required.
  • Minimum of 3-5 years of proven experience in a healthcare leadership role, including direct management of clinical support staff (e.g., LPNs, MAs) and managing clinic / healthcare operations.
  • Demonstrated experience working collaboratively with physicians and advanced practice providers in an administrative or operational support capacity.
  • Strong administrative, organizational, and problem-solving skills with a keen attention to detail.
  • Excellent communication, interpersonal, and leadership skills, with a proven ability to motivate teams, drive results, and foster a positive and collaborative work environment.
  • Proficiency in using electronic health records (EHR) systems and standard office software.
  • Ability to work on-site in Charlotte, NC, and interact effectively with senior leadership, medical professionals, and support staff.
