Roles & Responsibilities
Clinic Operations & Team Leadership
Supervise and coordinate daily clinic operations, ensuring efficiency in patient registration, scheduling, and billing.
Lead, support, and develop clinic staff ensuring they have the resources, training, and guidance needed to provide high-quality patient care.
Oversee provider schedules to optimize patient flow and help providers with fully booked schedules.
Ensure the clinic and staff are adherent to office policies, regulatory standards, and compliance guidelines.
Financial Compliance
Process and deposit all checks and cash payments promptly per company policy.
Maintain accurate financial records, including copies of checks, insurance remits, patient cash receipts, and bank deposit slips.
Scan and submit all financial documentation, along with receipts, to the Billing Manager.
Monitor clinic expenses and financial reports, identifying opportunities for cost savings and increased efficiency.
Ensure end-of-day payment collections and balance records are submitted to billing and regional managers.
Administrative Support
Organize office operations to improve workflow efficiency and accuracy.
Coordinate with internal departments for effective communication and process adherence.
Prepare reports on clinic performance, staffing, and productivity to keep leadership informed.
Ensure all necessary supplies and inventory are maintained for daily operations.
Maintain a welcoming and organized clinic environment.
Support leadership in implementing strategies to enhance patient care and clinic operations.
Perform other duties as assigned by leadership.
Attendance is an essential function of the role - onsite
Requirements : Required
High School Diploma or Equivalent.
Minimum 3-5 years of experience in healthcare administration, office management, or practice management, preferably in a mental health or medical setting.
Strong leadership, communication, and interpersonal skills.
Proficiency in Microsoft Office applications, electronic health records (EHR) systems, and general office equipment.
Organized and detail-oriented, with strong problem-solving skills.
Preferred
Associate degree in a related field with 1-2 years of experience in a supervisory or leadership role.
Knowledge of healthcare regulations, compliance standards, and best practices.
Personal attributes
Punctual, professional, and empathetic, with a desire to support, guide, and help both patients and staff with care, ensuring a positive and efficient clinic environment.
Physical & Environmental Requirements
Mobility : Ability to sit for extended periods (70% of the time) and move throughout the clinic to assist patients, providers, and staff.
Dexterity & Strength : Frequent computer use, handling paperwork, occasional stooping, or kneeling. Must be able to lift up to 20 lbs.
Communication & Vision : Must communicate clearly in person, by phone, and electronically. Requires close attention to detail.
Environment : Indoor medical clinic setting with possible exposure to biological fluids and bloodborne pathogens.
