We are looking for a personable and organized Front Desk Coordinator to join our team in Richmond, Virginia. This Contract-to-permanent position offers an excellent opportunity for growth and skill development. You will play a key role in ensuring smooth daily operations and providing outstanding service to clients and colleagues.
Responsibilities :
- Greet clients upon arrival, guide them to appropriate spaces, and provide refreshments as needed.
- Answer and direct incoming calls, ensuring accurate information is gathered before transferring.
- Maintain and restock conference rooms and kitchens, keeping them clean and organized.
- Scan, file, and manage documents, including closed files and client records, into the system.
- Open and distribute mail, as well as handle outgoing packages and schedule courier services.
- Manage check pickup processes and check the drop box daily for any new items.
- Assist staff members by opening files, ordering title searches, and conducting property and people searches.
- Enter data into software platforms and generate welcome letters.
- Process checks and complete other assigned clerical tasks to support the team.
- At least 2 years of experience in a similar front desk or administrative role.
- Proficiency in handling multi-line phone systems and inbound calls.
- Strong organizational skills with the ability to manage multiple tasks efficiently.
- Comfortable with data entry and working with various software systems.
- Excellent interpersonal skills with a friendly and meticulous demeanor.
- Ability to work independently and take initiative in a supportive role.
- Tech-savvy, with the ability to quickly learn and adapt to new tools and processes.
- A detail-oriented approach to clerical duties, ensuring accuracy and thoroughness.
