Job Description
Financial Planning Operations & Planning Associate
Career-Track Financial Planning Support | Austin, TX | In-Office / Hybrid
If you’re genuinely curious about how money, investments, insurance, taxes, business, and estate planning work—and want to become skilled enough to help clients in those areas within a competency of people, technology, numbers, compliance, data, and analysis—keep reading.
Join a boutique wealth-management firm and learn elite financial planning from the inside out. We serve successful families, business owners, and professionals through multi-generational strategies that integrate investments, insurance, and advanced estate planning within a fiduciary framework. You’ll work directly with the CFP® founder and internal consultants in a firm committed to innovation, technology integration, and a modern client experience.
This is not a sales job or a call-center role. It’s a true apprenticeship—part operations, part financial analysis, part project management—for someone who wants a long-term career in financial planning and thrives on precision. You don’t have to be an extrovert, but you must communicate clearly, know when to stop emailing and pick up the phone, and take ownership from start to finish. Professional follow-through, accuracy, and compliance discipline are non-negotiable here.
What You’ll Do
This role supports every facet of a high-performing financial planning practice —from operations to marketing, from technology to client experience. You’ll be the execution engine that makes planning and production possible, ensuring the advisor can focus on delivering strategy, advice, and results.
Your responsibilities will include, but are not limited to :
Client and Case Support : Gather data, maintain flawless accuracy, and prepare deliverables in eMoney, Excel, and Salesforce for financial planning, insurance, and investment cases.
Sales Development and CRM : Maintain and optimize the CRM (Salesforce) for all prospects, clients, and referral sources; build follow-up sequences; ensure no opportunity slips through the cracks.
Marketing and Communications : Coordinate firm branding, website updates, newsletters, digital outreach, and social media initiatives; support podcasts, events, and professional marketing efforts.
Client Appreciation and Retention : Track key dates and milestones; coordinate client and referral gifts, events, and personal touches that reinforce client loyalty and brand experience.
Growth and Recruiting : Help identify, recruit, and onboard future team members as the firm expands; assist in training and documenting workflows for scalability.
Innovation and Systems : Continuously look for better ways to integrate technology, automate routine processes, and modernize the client experience through improved systems and reporting.
This is a comprehensive operations role that touches every area of the business—planning, marketing, administration, and growth. Success in this role requires organization, ownership, and the ability to manage multiple priorities simultaneously without losing sight of the details.
Must Have
Exceptional attention to detail—you treat accuracy as craftsmanship.
High personal accountability; no excuses, no loose ends.
Structured, proactive communication—written, verbal, and by phone.
Analytical mindset with curiosity and grit.
Professional composure and reliability.
Qualifications
Bachelor’s degree preferred (Finance, Accounting, Economics, or Business).
Associate degree or equivalent experience considered.
2–3 years of practical experience in a related field (financial operations, accounting, project management, or similar) may substitute for a degree.
High proficiency in Salesforce and Microsoft Excel / Office, with strong data-management skills.
Familiarity with eMoney, Envestnet, or Morningstar a plus.
Career Path & Compensation
Starting Compensation : $52,000–$70,000 annually, including opportunity for performance-based increases and annual bonus potential.
Advancement is merit-based, not time-based. Exceptional performers who master systems, complete licensing, and demonstrate ownership may progress through the career track and pay scale faster than the standard timeline.
Progression Framework (Cumulative, Not Sequential)
Each phase builds on the previous one—new licensing and capabilities enhance earlier responsibilities rather than replace them.
Accuracy, operational execution, and attention to detail remain core expectations throughout every stage of advancement.
Typical progression :
Phase 1 – Operations & Planning Associate : Master systems, accuracy standards, and workflows.
Phase 2 – Licensed Assistant : Obtain Life & Health license; expand responsibilities into product and case design while maintaining operational precision.
Phase 3 – Registered Assistant : Earn Series 6 / 63 or 7 / 66; take on plan updates, investment operations, and analysis while continuing to manage planning process execution.
Phase 4 – Associate Advisor : Participate in client meetings, help develop recommendations, and lead initiatives—while upholding the same high standards of accuracy and process discipline established in earlier phases. AFA affiliation requires 7 / 66 licensing.
Comprehensive Benefits Package Includes
Annual performance bonus potential

Retirement plan with employer matching
Paid Time Off (PTO) and holidays
Licensing, continuing-education, and professional-development sponsorship
Success Metrics
100% accuracy in data and documentation
