Job description

Job Summary

Manage incoming and outgoing correspondence, including emails, faxes, mail, and packages. For all Forrest Health locations, process all invoices by vendors, enter into Lawson daily, and file into a binder, ensuring that all are processed. Ensure Kronos edits are completed daily and approve time cards on payroll Monday. Create and maintain a spreadsheet for Hazardous Material Program, ensuring all documents are up-to-date. Coordinates general office procedures and assists in overall clerical and office functions for the Director and Assistant Directors. Oversees staff interactions and responds to their queries on office management issues. Orders supplies for all Forrest Health locations and file by location. Assist EVS Management on their operational needs. Manages the Help Desk tickets, review, assign, and follow-up on completion. Creates and maintains various spreadsheets. Assembles, analyzes, and types materials for reports. Participates in organizing meetings and taking minutes. Appropriately communicates and interacts with coworkers, vendors, clinical staff, and visitors of all age groups, while being sensitive to their cultural and religious beliefs. Performs new hire candidate screening and interview set up, and job fair organization. Answers incoming calls and assists the caller in the manner they need.

Performance Expectations :

  • Demonstrates knowledge and skills to appropriately communicate and interact with coworkers, vendors, clinical staff, and visitors.
  • Demonstrates the ability to screen new hire candidates.
  • Demonstrates the ability to perform general office procedures and assists in clerical and office functions using telephone and computer.
  • Demonstrates the ability to enter invoices into FGH Lawson system accurately and consistently.
  • Demonstrates the ability to accurately record occurrences, PTO, etc., into the Kronos system.

Education / Skills : High school diploma required. Two years' college preferred. Extensive work experience may substitute for some collegiate studies. Must be a proficient typist and computer literate.

Work Experience : Preferred to have a working knowledge and experience of data processing systems, organizational ability, and strong communication skills. One to three years' clerical experience preferred.

Mental Demands : Exceptional oral and written skills are required to relate effectively to the hospital and medical staff. The individual must have the ability to type and be familiar with the rules of spelling, grammar, and punctuation. The individual must have the ability to use a computer display station, copier, telephone, personal computer, and calculator. Working knowledge of hospital terminology is necessary. The individual must have a high energy level and be capable of handling pressure situations, both mentally and physically. The ability to perform repetitive tasks, cooperate with others, follow directions precisely, and demonstrate initiative is required. The individual must be able to prioritize and meet project deadlines, have good written and verbal communication skills, and the ability to maintain rapport.
