Job description

Tarragon Property Services ("TPS") provides property management services for the operating properties owned by partnerships which are managed by Investco. Our company wide portfolio of operating properties includes over 4 million square feet of commercial property (primarily retail and industrial) and nearly 4,000+ multi-family units.

Currently TPS Commercial manages and leases approximately 3.5 million square feet of commercial property and is based in Sumner, Washington. This position is full-time and assists the TPS Commercial Property Management team.

The Property Administrator is responsible for the accurate coding and processing of invoices across multiple entities and vendors using Yardi and Avid systems. This role provides essential administrative support to the Property Management teams and ensures the timely execution of financial transactions, including tenant billbacks and vendor payments.

Working closely with the Accounting Department, the Property Administrator supports both operating and holding companies, ensuring compliance with internal financial controls and maintaining accurate records. The role also plays a key part in sustaining vendor relationships and upholding high standards of financial accuracy and reporting.

Essential Duties and Responsibilities

  • Invoice Processing : Code, enter and review invoices in Avid & Yardi for multiple entities. Ensure accuracy, proper account coding, and timely processing in accordance with company policies.
  • Invoice Review and Reconciliation : Organize and prioritize invoices for payment, resolve discrepancies, and review vendor statements for accuracy and completeness of internal records.
  • Workflow Compliance : Ensure invoices follow appropriate automated and manual workflows and approval processes. This includes ensuring the right workflow is assigned to the right invoices, monitor timely approvals, document and address mistakes or problems, and maintain proper documentation.
  • Vendor and Property Management Support : Partner with Property Management teams to investigate and resolve invoice or payment issues while maintaining excellent vendor relationships and account standing.
  • Payment Processing : Ensure bills are paid in a timely and accurate manner while adhering to the departmental procedures. This includes processing payment via checks, wires, transfers and ACH payments. Manage recurring payments and assist with month-end close activities.
  • Credit Card Reconciliation & Billbacks : Reconciles TPS Commercial credit cards transactions, prepare expense allocations, create and process internal billbacks between entities.
  • Vendor Credits & Discounts : Monitor vendor payment agreements to identify potential discounts. Track and apply credits owed to properties, or credits that can be used to reduce invoice amounts.
  • Outstanding Checks & Unclaimed Property : Review and follow up on outstanding checks, initiate void or stop payment requests, and maintain proper reporting for unclaimed property compliance.
  • Vendor Refunds : coordinate with Accountants and vendors for timely resolution vendor refunds
  • Other duties as assigned.

Education and Experience

  • 1-3 years administrative / invoice coding experience.
  • Experience with accounts payable and accounting software systems; Yardi and Avid experience preferred.
  • Must be comfortable working in a fast-paced work environment balancing multiple projects and tasks simultaneously and consistently meet deadlines.
  • Excellent organizational skills, attention to detail, and ability to be self-directed .
  • Excellent written and verbal communication skills to communicate and work effectively with management, tenants, co-workers and vendors.
  • Pro-active and results oriented with a professional appearance and attitude.
  • Accurate keyboard skills and experience with various office equipment / machines required.
  • Computer literacy required. Proficiency in preparing Word documents, Excel spreadsheets, and Outlook.
  • Property management software and Yardi experience a plus.
  • A high school diploma or equivalent is required, associate's degree in accounting or business field preferred.
  • This position offers a competitive pay rate between $25.00 - $27.00 per hour , commensurate with experience and skills.
