Personal Assistant In The Office Of The Founder And Cio
Manhattan office seeking an exceptionally talented individual to join the existing team in the Office of the CIO to support the Chief Investment Officer and Founder asap, in place by December at the latest. As the Personal Assistant in the Office of the Founder and CIO, the candidate will manage the founder's personal responsibilities, ensuring that the founder's time is used efficiently and effectively. The position will be through at least through mid-January, with the possibility of extending.
Time allocation :
- 5 days per week in the Midtown Manhattan office
- Travel to Greenwich, CT, or Woodstock, NY, as needed
- Accessible by phone and email from 8 am to 8 pm daily, although availability for work outside of this range may be required from time to time, as needed
- Weekend availability by phone, as needed
- Available during the holiday season required (must be available in Manhattan from December 22-24, 26, 29-31, and January 1-2, 5-9)
Responsibilities
Executive Lifestyle Management
Serve as the central point of coordination for all aspects of the Executive's personal life.In partnership with 2 others within the Office of the CIO, manage a dynamic and evolving calendar that integrates professional obligations, family commitments, and personal engagements, ensuring no conflicts and maximum optimization of time.Anticipate the executive's needs, and the needs of the 2 team members within the Office of the CIO by proactively identifying scheduling conflicts, travel complexities, and personal obligations requiring attention.Project Management System Maintenance
Partner with 2 members of the Office of the CIO to enter, maintain, track, and report on the status and completion of all requests made by the Executive.Family and Relationship Coordination
Coordinate family-related schedules, activities, and travel arrangementsAct as liaison between household managers, caregivers, co-parents, and family support staff to ensure smooth logistics and seamless communicationEnsure timely reminders and preparation for significant personal events, children's milestones, school or extracurricular commitments, and family-related holidays or gatheringsPersonal Scheduling and Errand Management
Oversee all personal appointments, including medical, wellness, grooming, and social engagements, always maintaining confidentiality and accuracy.Manage household and lifestyle logistics reservations, memberships, renewals, deliveries, and personal purchases with accountability and discretion.Manage gift-giving, correspondence, and personal outreach for friends and family.Travel and Itinerary Management
Plan, book, and manage personal travel arrangements, including flights, ground transportation, accommodations, dining reservations, and family-related holidays or gatheringsPrepare detailed travel briefs with contingency options for potential disruptions or changes in plans.Estate Project Management
Manage daily operations for deliveries, coordinate vendor access, and verify work order completion against the scope of work.Flag any delays, adjustments, or breaches of contractRecord and maintain meticulous records for all functions across each homeCalendar Coordination and Prioritization
Partner with the Office of the CIO to prioritize and shuffle the Executive's professional, personal, and family obligationsPromptly communicate amendments and updates across the network to relevant parties.Fiscal Oversight
Liaise with Family Office to coordinate vendor setup, bill pay, manage any vendor disputes, and serve as intermediary between Executive and all Finance teams.Expectation of Accountability Standards
