Organizational Support Coordinator

THE OPPORTUNITY
The Organizational Support Coordinator will provide essential support across the organization, contributing to day-to-day operations, fundraising activities, and program delivery. From managing office supplies and preparing donor thank-you packages, to entering fundraising data and supporting program logistics, the Program & Administrative Coordinator ensures that the day-to-day details of our work are handled with care freeing up staff to focus on mission-critical goals.

RESPONSIBILITIES

OPERATIONS & ADMINISTRATION
Manage office inventory and supply orders to ensure smooth daily operations
Provide general administrative support, including scheduling, data entry, and file management
Assist with coordinating logistics for meetings, events, and staff gatherings
Provide administrative support to leadership and staff as needed
FUNDRAISING SUPPORT
Enter donations and donor information into the fundraising database with accuracy and attention to detail
Generate donor acknowledgment letters and prepare stewardship materials (gift bags, thank-you mailings, etc.)
Assist in preparing fundraising event materials and campaign collateral
Help track in-kind donations and donor engagement activities
Provide support on donor research and other special projects
PROGRAM SUPPORT
Assist with preparation and distribution of program materials and supplies
Provide logistical support for orientations, trainings, and community gatherings
Track program-related inventory and ensure readiness for upcoming activities
Support program staff with data collection and reporting
Provide occasional on-site support at program events (with possible travel a few times per year)
EVENT SUPPORT
Work with the Events Manager to compile donor prospect information for cultivation events and update attendance records in the CRM.
Assist event logistics including ordering, inventorying, packing, and shipping supplies.
Prepare printed materials and gifts for speakers or hosts.
Support the organization and data entry of auction items, attendees, and guest information across platforms.
EXPECTATIONS & COMPENSATION
40 hours / week (standard schedule is generally Monday through Friday, 9-5 / 10-6 ET, depending on location) with flexible hours to account for calls and meetings in the evenings
Hybrid role based in Westport, CT. This position follows a hybrid schedule, combining remote work with regular in-office days at our Westport, CT headquarters for team collaboration. The role also includes in-person participation at programs and events as needed.
Annual base salary range : $50,000 - $55,000, commensurate with experience

QUALIFICATIONS
Bachelors degree or equivalent combination of education and experience preferred
Internship, volunteer, or administrative experience welcome
Strong organizational skills and attention to detail; ability to manage multiple priorities
Strong interpersonal and communication skills (written and verbal)
Comfort with Microsoft Office / Google Workspace; database experience a plus
Experience with Raisers Edge / NXT or similar CRM welcome
Interest in nonprofit operations, fundraising, and program delivery
