Administrative Accounting Specialist
Accounts Payable / Accounting Responsibilities :
- Conduct three-way matching for vendor invoices, ensuring proper coding and routing for approval.
- Verify and process accounts payable invoices and expense claims, ensuring accuracy, coding, and authorization.
- Prepare weekly Open Purchase Order (PO) reports and Accounts Payable (AP) Payment Forecasts.
- Organize and maintain AP and accounting records in appropriate software or cloud storage.
- Generate and review monthly financial reports as directed.
- Reconcile and post credit card statements with proper General Ledger (GL) coding.
- Develop a thorough working knowledge of accounting software and ensure accurate and timely cost reporting by syncing material and labor costs in QuickBooks.
Administrative Responsibilities :
- Greet and assist visitors at the corporate office.
- Process credit card applications and vendor documentation.
- Manage incoming mail and oversee distribution.
- Provide administrative support to the company president.
- Oversee corporate office supplies and facility management.
- Ensure effective communication between corporate and production facilities.
- Prepare and file lien / pre-lien documents and process lien releases for signature verification.
- Manage accounts nearing 30-40 days overdue and initiate first contact.
- Input billing into QuickBooks, including sending invoices with appropriate backup.
- Run and review Accounts Receivable (AR) aging reports after checks are posted.
- Assist with preparing 13-week cashflow reports.
Required Knowledge, Skills, and Abilities :
- Proficient in Excel, including advanced functions like VLOOKUP, Pivot Tables, and SUMIFS.
- Ability to type at least 45 words per minute.
- Experience with QuickBooks is preferred.
- Strong problem-solving skills with attention to detail in a fast-paced environment.
- Self-motivated, capable of working independently while adhering to deadlines.
- Excellent communication skills, with the ability to collaborate across all company levels.
- Positive and energetic approach to workplace interactions.
- Ability to handle confidential information with discretion.
