Job description

GENERAL DESCRIPTION : The Events Coordinator will plan and execute church wide events and staff functions throughout the year as well as support special events within different ministries.  This is a part time in-office position; remote work is not available.  A pre-employment drug screening is required for all candidates offered employment. REPORTS TO : Office Manager TEAM MEMBERSHIP : Administrative Team PRIMARY JOB FUNCTIONS INCLUDE (but not limited to) : Events : Work with team on format / timing of the event Order Food Order Supplies Collect necessary insurance information from vendors Coordinate volunteers Input information on ESpace (facilities software) Coordinate information with maintenance and tech Execute event Clean up from event Direct team in post event recap Maintain event closet – restocking as needed Submit invoices to Accounting – work within budget             Assisting Ministries with Events (as needed) : Work with ministry to coordinate information on calendar Give guidance in ordering food Direct ministry where to order supplies Assist in coordinating information with maintenance and tech Assist in recruiting volunteers Outside Rentals Work with Operations Manager to verify eligibility Collect dates and requirements for rental Obtain, execute and file contract Submit information into facilities software Obtain required insurance information Collaborate with facilities, IT and Production for event Be present at event Finalize event, submit final invoice, and collect payment QUALIFICATIONS REQUIRED : Must be organized, have a strong attention to detail and work within a deadline Must be able to work well with people Must have good communications skills Must be able to problem solve Previous event planning a plus PERSONAL REQUIREMENTS : Must be outgoing and personable and comfortable working with multiple individuals; is a self-starter and requires minimal supervision.  Excellent communication skills; is able to multi-task in a fast-paced environment.  Flexibility and ability to meet deadlines is a must.
