Key Responsibilities

Customer Service & Data Entry Support

  • Enter customer purchase orders into the Intuitive ERP system.
  • Create job folders and contract review entries for new parts.
  • Update existing orders and job sheets as customer requirements change.
  • Provide shipment performance reports and ASN documentation as needed.
  • Assist with customer requests, quality alerts, and continuous improvement initiatives.
  • Track order status across departments and ensure accurate recordkeeping.
  • Provide backup support to the receptionist during breaks or lunches.
  • Maintain confidentiality of all company and customer information.

Accounts Payable Responsibilities

  • Match vendor invoices to purchase orders and packing slips.
  • Enter invoices into the ERP system, verifying quantities and pricing accuracy.
  • Research and resolve invoice discrepancies or billing issues.
  • Code invoices and vouchers to the correct general ledger accounts.
  • Process payments, print and mail checks, and maintain AP files.
  • Communicate directly with vendors to resolve payment or account issues.
  • Process debit memos, credit applications, and vendor setup documentation (W-9s, etc.).
  • Assist with month-end closing and reconcile AP aging reports.
  • Qualifications

  • Education : High School Diploma or equivalent required.
  • Experience : 25 years of administrative, clerical, or accounting experience.
  • Skills : Proficiency in Microsoft Excel and other MS Office applications.
  • Preferred : Experience using ERP systems (Intuitive ERP a plus).
  • Strong attention to detail, organizational skills, and problem-solving ability.
  • Excellent written and verbal communication skills.
