WSP is initiating a search for a full-time Senior Document Formatting Specialist , located near Freeport, ME and Fort Worth, TX . As part of the team, you will support technical authors, technical editors, and graphic designers by providing word processing, formatting, and document finalization nationally as part of our Visualization and Data Intelligence practice, a growing national business line focused on advancing and enhancing the quality of WSP client deliverables.
Our successful candidate must be a detailed-oriented self-starter with strong communication skills and is a team player who is comfortable working in a fast-paced, deadline-driven environment. The successful candidate will not only have the knowledge and experience to use and create Microsoft Word templates for a wide variety of documents but also will be able to troubleshoot problems when templates malfunction, and help authors achieve their layout goals. The successful candidate will enjoy the challenge of problem-solving and finding solutions to help project teams deliver the highest-quality documents to WSP clients. The successful candidate will be expected to exercise responsible and ethical decision-making regarding company funds, resources, and conduct, and adhere to WSP’s Code of Conduct and related policies and procedures.
Your Impact
Ability to quickly assess how a particular template is put together and work within those parameters to create a flawless final deliverable.
Ability to create new document templates from scratch.
Ability to use, create, and troubleshoot automated cross-references for figures and tables.
Ability to use, create, and troubleshoot Word styles.
Understanding of different types of layouts, such as mirror margins, print vs. electronic setup, and master tables of contents that draw from multiple files.
Experience using Adobe Acrobat to create PDFs, combining multiple files, creating bookmarks, creating live links in tables of contents, and troubleshooting when needed.
Ability to communicate effectively and congenially with project teams in a wide variety of fields.
Exceptional attention to detail.
Highly proficient at self-managing time and ability to be nimble in the face of shifting project schedules.
Ability to effectively interact with Project Managers, Task Leaders, and Senior Management.
Who You Are
Required Qualifications
High School Diploma and a minimum of 7+ years' experience working with advanced Microsoft Word functions in a professional context.
Proficiency with formatting in Microsoft PowerPoint.
Proficiency with formatting in Microsoft Excel.
Experience working in Microsoft SharePoint or similar shared document platform.
Experience working with WordsFlow.
Awareness of, interest in, or experience with ADA Section 508 document requirements.
Comfortable assisting with minor editorial revisions such as a global change to a project term or checking table keys.
