Position Summary & Responsibilities :

Position Summary :

This Administrative Assistant position is located at the Salina Area Office. This position provides clerical support for the Construction Office through receptionist duties, data entry, filing, and various other assigned duties, and serves as assistant and backup to the Area Office Manager. The Administrative Assistant also assists more experienced technicians with day-to-day paperwork to allow them more time in the field mentoring others.

NOTE : Due to the nature of the work, incumbent may / will be required to work additional hours when needed, including nights and weekends. Work may be extended to 12 hour shifts as deemed necessary during emergency situations for communication activities or for inventory items. Additional hours will be assigned by the supervisor depending upon the needs of the agency.

Job Responsibilities may include but are not limited to the following :

  • Composes, reviews, and proofreads construction reports and associated paperwork to ensure project and contract information accuracy.
  • Obtains information from various sources to research, review, and prepare the documents necessary for preconstruction meetings and project processes.
  • Front desk reception duties, including filing project records, contractor payrolls, EEO reports, and confidential personnel filing.
  • Employee and equipment time entry.
  • Processes payments.
  • Enters data, runs, reports, and assists with supplies and inventory.

    Qualifications :

    Minimum Qualifications

  • Six months of experience in general office, clerical, or administrative support work.
  • Education may be substituted for experience as determined relevant by the agency. Transcripts are required for education to be considered.
  • Preferred Qualifications

  • Computer experience.
  • Accounting knowledge.
