Description

We are seeking a detail-oriented and proactive Paralegal & Administrative Support Specialist to serve as a vital partner to our legal team. This role will provide comprehensive support across the legal department, including employment litigation support, internal investigations, contract management, legal research, and compliance tracking. This role also has a focus on billing, budget tracking, and administrative functions to ensure accurate financial reporting, timely invoice processing, and effective coordination between legal and finance teams. The ideal candidate thrives in a fast-paced environment, demonstrates exceptional organizational skills, and can balance multiple priorities with professionalism and discretion.

Key Responsibilities

Legal & Administrative Support

  • Support legal operations and the implementation of legal initiatives and programs across the legal department and company
  • Maintain organized files and documentation related to contracts, litigation, and legal matters
  • Assist with case management, including scheduling hearings, filing documents, and coordinating with external counsel
  • Act as a liaison with internal departments and external stakeholders, including vendors, clients, and opposing counsel
  • Assist in developing tools, resources, and SOPs to streamline legal and administrative processes
  • Manage concurrent projects and deadlines with accuracy and attention to detail

Billing & Budget Support

  • Track legal department budgets, including outside counsel spending, internal allocations, and special project costs
  • Review and process legal invoices, ensuring compliance with billing guidelines and accuracy of entries
  • Liaise with Finance and Accounts Payable to resolve billing discrepancies and ensure timely payments
  • Maintain records of legal spend and prepare timely budget reports for leadership and stakeholders
  • Assist in forecasting and tracking spend against budget for legal matters and vendors
  • Skills, Knowledge and Expertise

  • Education : Bachelor’s degree or Paralegal Certificate required
  • Experience : 3-8 years of paralegal or legal assistant experience; exposure to employment and law, contracts, or litigation support preferred
  • Strong knowledge of contract law, legal terminology, and case management practices
  • Experience with budget tracking and reporting
  • Strong proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook); experience with contract management or legal case management software a plus
  • Experience with labor unions a plus
  • Excellent attention to detail and accuracy in financial data entry and review
  • Ability to communicate effectively with internal teams and external vendors.
  • Ability to multitask, prioritize, and meet deadlines in a fast-paced environment
  • High level of discretion and confidentiality when handling sensitive information
  • Strong interpersonal skills with the ability to work effectively across departments and with external partners
