Salary : Overview

We are seeking a detail-oriented and proactive Administrative Assistant to support the daily operations of our Research & Development (R&D) department. This role is critical in ensuring that scientists, engineers, and technical teams have the administrative, organizational, and cultural support they need to drive innovation. The ideal candidate will bring experience in employee performance support, team-building initiatives, and operational efficiency in a dynamic, research-driven environment.

Key Responsibilities

Department Operations

  • Oversee day-to-day administrative functions within the R&D department to ensure smooth workflow.
  • Coordinate lab and office resources, including scheduling equipment usage, managing supply orders, and maintaining vendor relationships.
  • Assist with compliance tracking for safety, regulatory, and documentation requirements specific to R&D.
  • Support leadership in project tracking, reporting, and interdepartmental communication.

Administrative & Executive Support

  • Manage calendars, meeting logistics, and documentation for R&D leaders and project managers.
  • Prepare and maintain technical reports, research documentation, and departmental records.
  • Coordinate travel and conference arrangements for R&D staff.
  • Provide budgetary and expense-tracking support for R&D initiatives and departmental resources.
  • Employee Performance & Engagement

  • Partner with R&D leadership to track and support employee performance and development.
  • Assist in performance review processes by organizing documentation and ensuring follow-up actions.
  • Help identify training needs and coordinate professional development opportunities for technical staff.
  • Maintain confidentiality and serve as a resource for team members regarding workplace matters.
  • Team Building & Culture

  • Plan and execute team-building activities tailored for scientists, researchers, and cross-functional teams.
  • Promote collaboration across diverse technical groups, ensuring alignment between researchers, product teams, and leadership.
  • Foster a culture of innovation, accountability, and inclusion within the R&D department.
  • Support initiatives that celebrate milestones, research achievements, and team successes.
  • Qualifications

  • Proven experience as an Office Manager, Administrative Assistant, or in a similar role.
  • Strong knowledge of performance management and employee engagement practices.
  • Excellent organizational, interpersonal, and communication skills.
  • Proficiency with office and project management software (Microsoft Office, Google Workspace, project tracking tools).
  • Ability to manage sensitive data and departmental information with discretion.
  • Preferred Education and Experience :

  • Associate's or Bachelors degree in business administration
  • 4+ years of progressively responsible administrative experience
  • Required Education and Experience :

  • High school diploma or equivalent
  • A combination of education and experience may be considered
  • Supervisory Responsibility :

  • This job does not have supervisory responsibilities.
  • Work Environment :

  • This job operates in a professional office environment. The role routinely uses standard office equipment such as a laptop, desktop, smartphone, and photocopiers. The noise level in the work environment is usually moderate. Essential oils are worn and / or diffused in the work environment.
  • Position Type / Expected Hours of Work :

  • This position requires the incumbent to be physically present at the assigned worksite. The regular schedule is from 8 a.m. to 5 p.m., with an hour lunch, Monday through Friday. Occasional evening and weekend work may be required as job duties demand. Employees are also expected to work at least one non-convention farm event a year and to work at the annual company convention.
  • Exact hour requirements can be reasonably modified as necessary for the business needs by the employees manager.
  • Physical Demands :

  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Specific vision abilities of this job include close vision and the ability to adjust focus. The employee is required to type, file, and occasionally lift office supplies up to 20 pounds. The employee must be physically able to tolerate the scent of essential oils worn or diffused.
