Outpatient Pharmacy Manager

Job Summary

The Outpatient Pharmacy Manager plans, organizes, controls, and supervises the daily activities in the outpatient pharmacy according to policies, standards of practice of the profession, and State and Federal laws. Recommends innovations in the practice and function of the Hospital Pharmacy to Administration and carries out mutually agreed upon programs. Administration of the 340B program. Responsible for the training and orientation of personnel in the outpatient pharmacy. Must be able to perform the primary job functions of a pharmacist. Functions as a key departmental supervisor and will perform duties in scheduling and payroll and other duties as assigned.

RESPONSIBILITIES INCLUDE :

Pharmaceutical Care

  • Ensures the patient’s or customer’s pharmaceutical needs are effectively met by establishing staffing mix, policies, procedures, standards, and objectives for the provision of services.
  • Exercises professional judgment in imparting therapeutic and drug information to patients and health professionals.
  • Supervises the maintenance and dissemination of drug information through consultation with patients and medical staff.
  • Develops and manages pharmacy purchasing, inventory management and reconciliations that meet pharmacy, patient and customer needs.
  • Actively assists staff pharmacists with dispensing prescriptions and counseling patients as necessary.

Customer Service

  • Consistently demonstrates active listening skills in all communications with customers / suppliers.
  • Responds to the initial requests, complaints, or concerns of customers / suppliers within 24 hours and follows up in a timely manner with a resolution.
  • Demonstrates clear, concise, constructive communication both verbally and in writing.
  • Maintains confidentiality regarding issues related to patient care and operations.
  • Serves as a positive role model by displaying cooperative professional behavior in interacting with others.
  • Leadership Administration

  • Communicates the Hospital Philosophy to department employees and integrates with departmental operations.
  • Provides leadership to new program development, implementation and evaluation.
  • Anticipates the needs and issues of customers / suppliers in order to insure effective departmental operations and / or meet their needs.
  • Promotes multi-disciplinary teamwork in order to meet the organization’s goals and objectives.
  • Provides leadership to the department through effective organization, direction of activities, and appropriate delegation of functions.
  • Maintains appropriate controls of department functions to insure smooth, effective operations.
  • Continuously evaluates the quality of services and / or products provided to the department’s customers.
  • Ensures that department is in compliance with accreditation / regulatory requirements, pharmacy policies and procedures, and Federal and State regulations.
  • Ensures that department is in compliance with all applicable safety and security practices, infection control policies, fire and safety and disaster planning.
  • Is responsible for the effective recruitment, selection, orientation, promotion, evaluation, retention and termination of department employees.
  • Routinely assesses departmental education needs and provides the appropriate learning experiences, i.e., on the job training, workshop, in-services, etc.
  • Actively participates in committees, task forces, projects, and provides leaderships as assigned.
  • Performance Improvement

  • Continuously assesses and improves the performance of care and services provided.
  • Demonstrates effective problem-solving techniques and promotes same in others.
  • Establishes and maintains departmental Quality Control programs as appropriate.
  • Actively supports the Mission and Philosophy of Marion Health through CQI activities.
  • Financial Management

  • Reviews, evaluates and recommends modifications to annual operating budget(s) to provide adequate space and resources needed by the department.
  • Management of pharmacy’s financial performance including 340B, third party reimbursement, alignment of budgets to achieve departmental objectives; oversees financial monitoring, analysis and auditing.
  • Participates in the selection of sources for needed services not provided by the department / service or the organization.
  • Ensures that department operates within established revenue and expense budget parameters.
  • Develops and implements cost reduction strategies to maintain costs within budget and realize cost reduction opportunities.
  • Recommends new services / modification to existing services to meet patient needs and provide additional sources of revenue.
  • Understands responsibility under the HIPAA Privacy and Security rules as they relate to this job description.
  • Other related duties as assigned.
  • Minimum Job Requirements

  • Bachelor of Science or PharmD from an ACPE-accredited School of Pharmacy.
  • Maintain licensure as a pharmacist in the State of Indiana in good standing.
  • Four (4) years’ experience working as a pharmacist.
  • Two (2) years supervisory or leadership experience.
  • Preferred Job Requirements

  • Experience in an outpatient pharmacy.
  • Pharmacy management experience.
  • Skills / Knowledge / Abilities

  • Thorough knowledge of state and federal laws and regulations governing pharmacy services.
  • Proficient in the use and application of new medications and technology.
  • Thorough knowledge of the administration of the 340B program.
  • A professional level of knowledge of all aspects of pharmaceutical care is required along with experience in developing and maintaining pharmacy information and automation systems in an institutional setting.
  • Excellent communication skills to effectively and tactfully communicate with patients and their families and guests, co-workers, managers, Hospital Administrators, providers, consultants, business associates and regulatory agencies presenting a professional image as a representative of Marion General Hospital.
  • Interpersonal skills necessary in order to carry out duties in a professional manner, as well as the ability to work well under stress.
  • Excellent time management, and organizational skills.
  • Ability to problem solve, multi-task in a fast-paced setting and work well in a team environment. Requires the ability to negotiate effective working relationships and develop positive resolution to conflict.
  • Highly developed computer skills to include proficiency with Microsoft Office and the ability to learn and proficiently perform computer applications related to department operations and job function.
  • Excellent customer service skills.
  • High degree of accuracy with concentration and close attention to detail. Requires the ability to be discreet and protect the integrity of any confidential matter or information encountered during the performance of job duties.
  • Working Conditions

  • Typical hospital clinical environment with frequent standing and walking.
  • Work may be subject to interruptions and occasional high stress levels.
  • Risk of occupational exposure to blood and other potentially infectious, electrical and radiation hazards.
  • Ability to work hours beyond the normal work week.
  • Works with highly confidential information which may be proprietary or protected health information.
  • Ability to work hours beyond the normal work week.
  • May attend special functions and meetings at various locations within the hospital and community.
  • Occasional overnight stays.
  • Physical and Mental Activities, Tools and Equipment
