Summary
APD seeks a well-organized, methodical, detail-oriented person with a can-do, welcoming, outgoing personality to assist in the processing of building permits for multiple Architectural and Engineering design projects located throughout the US. Cheerful and outgoing, this individual will be on the phone with Municipal employees throughout the US to obtain their jurisdiction’s building permit processes and then complete the process expediently and efficiently. This individual needs to have strong organizational and prioritizing skills. High-level verbal communication and presentation skills are essential for clear communication in dealings with clients, municipalities, and staff. The ability to manage your own time, act decisively, get answers as needed, and complete tasks on–time is a crucial skill to the success of this position. This role is fully onsite at our Victor, NY offices. Remote work is not available for this position.
Key Responsibilities
Responsibilities Include :
- Submitting all APD projects for permitting in a timely, efficient manner.
- As needed, coordinate with Project Staff, Clients, and Municipalities regarding submittal requirements.
- Phone calls to each municipality to determine their process for submittal.
- Filing follow-up emails to have a “paper” trail in case of discrepancies.
- Maintenance of a “talking points” form to collect the correct data from each Municipality to ensure that each submittal runs as quickly and smoothly as possible.
- Plotting and preparing plans as necessary (multiple copies when required).
- Ensuring plans are sealed and signed before submittal.
- Acquisition of a check from the client for the permit fee to be sent with the submission.
- Mailing the complete submittal to all required parties.
- Follow-up with the Municipality after the submittal is made to ensure they receive the submittal and that they need nothing further from us.
- Make necessary corrections should the initial submittal not be complete.
- Track the submittal process in our project management software, Sharenology.
- File final submittal approval electronically in Sharenology and send electronic copies to involved parties.
Ability to work onsite full-time at our Victor, NY offices.
Skills, Knowledge and Expertise
Minimum Experience :
Five years of solid administrative experience in a professional office setting.Clear and concise verbal and written communication.Ability to set your calendar and prioritize tasks assigned by multiple people.Accomplished computer skills – including Microsoft Outlook, Word, and Excel.Ability to learn new tasks quickly, assimilate the components, and implement necessary improvements.Professional phone / customer service skills with experience speaking to various people numerous times daily.
