We are looking for a dedicated and detail-oriented Executive Assistant to provide comprehensive support to senior leadership within our organization. This long-term contract position is ideal for a proactive individual who excels in managing schedules, coordinating meetings, and handling confidential communications. Based in San Francisco, California, this role requires a commitment to excellence and a collaborative approach to ensuring smooth daily operations.
Responsibilities:
• Provide high-level administrative support for senior executives, including scheduling and calendar management.
• Coordinate and prepare materials for meetings, such as agendas, presentations, and follow-up notes.
• Oversee travel arrangements, including booking flights, accommodations, and transportation.
• Manage expense reporting and ensure timely submission of related documentation.
• Maintain confidentiality while handling sensitive correspondence and communications.
• Assist with onboarding processes and support team operations, including office logistics.
• Collaborate with HR, Operations, and leadership teams on administrative projects.
• Ensure deadlines are met and deliverables are completed with accuracy and attention to detail.
• Serve as a reliable point of contact for clients and internal stakeholders.
• Adapt to evolving priorities in a fast-paced environment, maintaining a high level of organization.• Minimum of 3–5 years of experience as an executive or administrative assistant, preferably in detail-oriented environments.
• Associate’s or bachelor’s degree is preferred.
• Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
• Exceptional organizational and time-management skills.
• Strong written and verbal communication abilities.
• High level of discretion when handling confidential information.
• Ability to work independently while contributing to team goals.
• Proven ability to thrive in a fast-paced, deadline-driven environment.
