Operations Supervisor - Aec

The Alliant Energy Center in Madison, WI has a vacancy for the full-time (1.0 FTE) Operations Supervisor - AEC position. The eligible list created from this posting may be used for future Operations Supervisor - AEC vacancies for the next six (6) months.

Definition : Under general supervision of the Executive Center Director, the Operations Supervisor AEC responsible for all operational staff across the entire Alliant Energy Center (AEC). Plan and execute events, including concerts, sporting events, assemblies, trade shows, livestock exhibitions and fairs throughout campus to professional industry standards. Develop staffing levels for the efficient and timely set-up, presentation, and breakdown of events. Recommend purchases related to event production and customer service. Perform activities involving budgeting, purchasing and human resources. Assimilate and disseminate information for presenting events in a proper and safe manner to customer and guest in compliance with contracts, policies, procedures and ordinances.

Examples of duties : Plan, schedule and manage all show-related activities to include set-up, tear-down and cleaning. Ensure all event layouts are set according to event maps. Identify and communicate any event layout concerns prior to setting the event. Provide show site support for move-in, floor audits and move out. Develop staffing levels for the efficient and timely set-up, presentation breakdown of events and post-event cleaning. Place orders for rental equipment or show supplies. Supervise, direct and monitor contracted and LTE staff for events. Maintain a high level of customer service to all show promoters, exhibitors and guests. Provide post-event feedback to improve future events. Ensure all events areas are set up in accordance with safety, fire and health codes. Act as the manager on duty for events. Hire and manage all operations staff to include crew leaders, center lead workers and center workers as well as LTE general laborers. Ensure that staff and clients understand the venue's policies and procedures. Develop pertinent training, policy and procedure documents. Develop, maintain and execute robust staff training. Perform activities involving budgeting, including managing the budget for the operations department. Execute all purchases needed to support AEC operations. Work with the Deputy Director Administration & Finance on any human resources issues.

Education, training and experience : Any combination of education, training and experience equivalent to a High School diploma and seven (7) years of experience at a multipurpose facility (e.g., stadium, arena, convention center, etc.), which includes one (1) year of supervisory or lead-worker experience. Must have a valid driver's license, or access to reliable personal transportation, or equivalent. Availability to work as required during nights, weekends and holidays, including long and unusual hours, as dictated by event needs. Background check statement : Some positions may require a criminal background check which can include fingerprinting due to the nature of the job's responsibilities. Wisconsin's Fair Employment Law, s. 111.31 111.395, Wis. Stats., prohibits discrimination because of an arrest or conviction record. However, Dane County may disqualify an applicant if the position's responsibilities are substantially related to the applicant's criminal history (e.g., the nature of the crime and its relationship to the position, whether hiring, transferring or promoting an applicant would pose an unreasonable risk to the business, its employees, customers and vendors, etc.) Management reserves the right to make employment contingent upon successful completion of the background check.

For bilingual positions : Provide services in both English and the required foreign language (e.g., Spanish, Arabic, Hmong, etc.). Applicants being considered for bilingual positions will be tested during the recruitment process prior to employment. This will primarily consist of passing an oral language proficiency assessment from English to foreign language and foreign language to English, but may require additional language testing, such as written translation, if it is an essential function of the job.

Physical and environmental work requirements : Professional office work environment. Work involves walking, sitting, standing, bending, stooping, twisting, turning, lifting, carrying, pushing, pulling, grasping, and reaching within normal ranges. Ability to lift and move a variety of work-related materials weighing up to 50 pounds unassisted and up to 100 pounds with assistance. Prolonged computer and phone use. Manual dexterity using fine and gross motor skills. Ability to speak and be heard by others. Ability to see and hear within normal ranges with or without corrective devices.

Knowledge, skills and abilities : Considerable knowledge of personnel management procedures, supervisory techniques and methods. Considerable knowledge of the operational workings of a major public assembly venue. Knowledge of management procedures and principles affecting event management and administration of multi-purpose public assembly facilities. Ability to multi-task, plan and forecast work. Ability to work within the terms of an event and operating budget. Strong oral and written communication skills. Ability to provide exceptional customer service and coordinate simultaneous production of convention, trade show, entertainment, sporting and other events. Ability to analyze and categorize data and information in order to determine the relationship of the data to the situation at hand. Ability to prepare multi-million-dollar labor and equipment budgets. Ability to advise, interpret and apply policies and procedures. Ability to work well with others. Ability to think critically and analytically. Ability to work on simultaneous projects and successfully meet constantly changing deadlines. Ability to adapt to flexible organizational style. Ability to work under pressure to meet event start-time needs of customers and ability to use several types of software (i.e., Microsoft Word, Excel, Momentus, CAD and PowerPoint).
