Objectives of this role :

As an integral member of the Client Services department, reporting to Sr. Director, Project Management, you will support members of the account / project team by serving as the day-to-day liaison between internal teams and a trusted advisor to clients. This role comprehensively manages a diverse portfolio of small to medium sized projects from inception to completion, acting as a central point of contact for all projects and basic account knowledge.

Duties and Responsibilities :

Client & Account Management :

  • Develop a basic understanding of the client's brand, the disease state, and the market while beginning to build client relationships.
  • Schedule and assist with facilitating internal and external meetings, distilling notes into key points and actionable next steps for stakeholders.
  • Document client contact reports, requests, and meeting outcomes concisely and accurately.
  • Ensure all project deliverables meet high-quality standards by conducting content reviews prior to client submissions.
  • Assist with publication planning and manage submission of abstracts and manuscripts.

Project & Financial Management :

  • Proficient in Workamajig, routing tools, and MS Office (intermediate-level Excel and PowerPoint); and any related team tools.
  • Execute small to medium sized projects by overseeing all project phases to ensure timely, high-quality delivery.
  • Orchestrate day-to-day activities on assigned account and become proficient in the preparation of estimates, timelines, status reports, and hot sheets.
  • Assist with monthly forecast preparation.
  • Monitor projects for scope changes, track budgets, and create weekly burn reports.
  • Assist in the development of project scopes and maintain a working understanding of the project deliverables.
  • Proactively identify and mitigate potential project risks and issues as they arise.
  • Open projects and create job folders
  • Route projects (outlines, manuscripts, layouts, mechanicals, and proofs) to internal teams and clients to ensure quality control on all assigned projects.
  • Internal Collaboration & Communication :

  • Display a team approach and serve as the central liaison for projects, coordinating cross-functional teams to ensure seamless collaboration.
  • Proactively communicate project status to both internal and external stakeholders, keeping record of critical communications.
  • On a weekly basis, work with the assigned resource manager to secure resources based on project allocations across departments and proactively anticipate workload challenges.
  • Regulatory & Compliance :

  • Basic knowledge of MLR submissions in content management platform.
  • Maintain compliance with regulatory requirements within publication management portals and other systems as required by clients.
  • Qualification Requirements :

  • Education : Bachelor's degree, preferably in health sciences marketing, or communications.
  • Experience : 2-4 years of work experience in a healthcare, marketing, or communications agency.
  • Strong communication, relationship-building, and strategic thinking skills are crucial.
  • Ability to manage multiple projects, requests, and responsibilities simultaneously.
  • Excellent organizational skills, attention to detail, follow-through, and on-time completion of tasks.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Experience with publication management software is a plus
