Tom Thumb Department Specialist
To complete a variety of specialized duties that support the functional operations. The duties in the department specialist job family focus on tasks and work that are unique to the department and require knowledge and skills that are beyond what are required for general office work.
Key responsibilities include :
- Assisting with total store customer service for the division.
- Maintaining complex records.
- Responding to inquiries in area of responsibility.
- Collecting data / information for department use in special projects or reports.
- Updating information and reports typically on the computer.
- Checking information for accuracy.
- Preparing and balancing data.
- Answering department phones as needed and routing to the appropriate area.
- Reviewing information / data and making decisions within very defined guidelines, parameters, and instructions.
- Examining and prioritizing documents to determine work to be completed or the best course of action.
- Collecting information for specific department reports.
- Creating and maintaining complex reports.
- Sorting, filing, and maintaining invoices, receipts, contracts, or other special department documents.
- Compiling minor statistical data.
- Making and checking routine one and two step math calculations.
- Completing keyboarding projects such as preparing correspondence and mailings.
- Checking own work for accuracy.
- Coordinating special programs and / or events.
- Reviewing and / or comparing information / data and making determination within defined guidelines, parameters, and instructions.
- Maintaining complex records and files, and searching and investigating information found in files.
- Compiling information and data from various sources for specific departmental reports, creating reports, graphs, and data comparisons.
- Posting records and processing departmental documents requiring specific knowledge of the functional area.
- Completing detailed keyboarding projects such as preparing correspondence from rough drafts and completing specialized departmental forms.
- Responding to inquiries that require specialized knowledge of the function to respond.
- Analyzing and developing major projects and carrying projects through to completion.
- Researching and interpreting a variety of levels of information.
- Maintaining unit documents such as ledgers, financial records, service information, etc.
- Coordinating and implementing approved changes in policies and procedures affecting the unit.
- Providing advice and assistance to other employees in the unit and acting as a liaison to other units.
- Monitoring the daily work of a group of lower-level specialists and making adjustments in the division of work to ensure timely accurate completion of work.
- Training new employees on job tasks.
- Acting as a resource to staff in the work group.
- Providing input to management on performance reviews of staff in the work group.
- May participate in interviews and provide input to management during the selection process of new members to the work group.
