Job Description
The Leasing Assistant will play a key role in supporting the firm’s retail portfolio, taking ownership of day-to-day lease administration and working closely with the Vice President of Retail. In this part-time, 6-month contract role, you’ll gain hands-on experience across a variety of responsibilities, from abstracting leases and ensuring tenant compliance to managing financial processes, preparing budgets and reconciliations, maintaining records, and supporting the property management team. Responsibilities
- Manage abstract leases, amendments, and renewals into a RE software program, set up recovery profiles, and enter and track key dates.
- Track and collect necessary tenant documents. (Certificates of insurance, maintenance records, tenant sales reports, letters of credit).
- Assist with asset financing and dispositions, prepare and track estoppels, SNDAs, and property questionnaires, and coordinate property tours.
- Track tenant lease obligations / compliance. Prepare / send tenant default notices.
- Track tenant key dates, plan submission, outside rent start, option notification, and tenant move dates.
- Manage & maintain FileSharing platform, financial / budgeting / reconciliations, and prepare annual budget drafts.
- Confirm tenant recovery pools and budgeted CAM / tax recoveries, annual tenant CAM / tax reconciliations.
- Review monthly property financial statements for accuracy, and provide backup for tenant audits as needed.
- Generate, review, and send monthly tenant statements, monitor, calculate, and apply late fees.
- Prepare monthly A / R reports, prepare, send, and track tenant default notices, and apply prepaid rents.
- Track retail capital expenses. (leasing commissions, tenant improvement allowances)
- Manage water submeter program, manage tenant / landlord utilities, and enter work orders into Yardi.
- Manage tenant repairs and maintenance, general tenant and general internal inquiries.
- Various miscellaneous support or reports, correspondence as necessary.
Ideal Experience
Bachelor’s degree preferred with 3-7 years of experience in retail lease administration and accounting.Proficiency in Yardi is a must.In-depth knowledge and understanding of retail leases and both landlord and tenant obligations.Proficiency with lease administration and accounting for retail tenants and commercial properties.Proficiency in CAM and tax recoveries and reconciliations.Proficiency in preparing and understanding property budgets.Strong familiarity with other real estate legal documents.Proficiency in the Microsoft Office Suite (Excel, PowerPoint, Word, Outlook).Excellent organization skills, critical thinking skills, self-motivation, positive attitude, strong work ethic, ability to handle multiple assignments, good judgment, excellent follow-through, and attention to detail.The Larko Group is a women-owned, premier staffing and recruiting firm based in Chicago with a nationwide reach.
