Contracts Assistant

Together with affiliate GEM Energy, who specializes in distributed generation and energy efficiency, GEM is hiring a Contracts Assistant to accommodate continued growth within the Rudolph Libbe Group. This role will assist with contract preparation and review, maintain contract records, coordinate with project teams, and support compliance with company policies. Job Responsibilities :
- Provide administrative support to the Contracts Department, including document preparation, proofreading, and formatting.
- Research legal topics.
- Organize contract files including but not limited to review copies, internal discussion notes, negotiation correspondence and final execution contract documents.
- Track contract status, deadlines, renewals, and key milestones, and provide timely updates to team members.
- Assist with initial review of contract documents to identify missing information or discrepancies.
- Coordinate signatures and approvals for contracts and related documents.
- Ensure that all records are accurate and up-to-date.
- Attend meetings to assess progress on projects and take detailed notes to share with stakeholders.
- Analyze contracts to ensure they comply with state and federal laws and regulations.
- Collaborate with other departments to obtain necessary information and documentation for contract processing.
- Assist Project Managers in reviewing key contract terms.
