Job descriptionServe as a communication conduit between leadership, project leads, and operational teams regarding project status, changes, and requirements. Request and coordinate materials in advance of build starts; identify and escalate potential backorder or shortage issues. Follow project leader build plans to organize work locations and ensure resources are in place. Verify toll gates and other project checkpoints are properly completed before advancing to next phases. Archive completed quality documents to the designated server project area. Notify engineering teams in advance of product testing schedules and ensure product availability. Alert shipping teams regarding outgoing product, verify completion and passing of all quality checks, and communicate shipping location details or special delivery requirements. Track and confirm arrival of shipments at customer sites. Generate and submit invoice requests in alignment with completed project milestones. Oversee building maintenance requests; utilize internal resources when available and contract external vendors as necessary. Manage lawn care and snow removal contractors; schedule internal resources for morning snow / ice walkway maintenance as needed to ensure safety. Monitor and adjust production plans to meet changing customer demands and internal priorities. Analyze capacity, lead times, and material availability to create efficient schedules. Support continuous improvement initiatives related to production planning, resource utilization, and communication. Maintain accurate records of production schedules, materials, and labor allocations. Collaborate cross-functionally with procurement, engineering, quality, and leadership to ensure timely project execution. Proven experience in production planning, scheduling, or operations coordination (manufacturing or project-based environment preferred). Strong organizational and time-management skills with attention to detail. Proficiency with scheduling software (Jobtrack or similar), MS Office Suite, and ERP systems. Excellent communication and interpersonal skills to liaise between multiple departments. Ability to anticipate and resolve scheduling, material, or logistical issues proactively. Proactive Communication – Keeps stakeholders informed of progress, delays, and needs. Analytical Thinking – Identifies issues in schedules or materials before they impact project timelines. Organization & Prioritization – Manages multiple projects and priorities effectively. Problem-Solving – Develops solutions to resource or scheduling challenges with minimal disruption. Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at times.

The Production Planner coordinates and oversees all aspects of production scheduling and resource planning to ensure projects are delivered on time, within projected hours, and in alignment with company standards. This role acts as the central point of communication between electrical, project leads, engineering, purchasing and shipping teams to support seamless operations and timely execution of customer orders.

Scheduling & Timekeeping
- Review employee timesheets daily to ensure proper completion and accuracy.
- Ensure employees are responsible for their own timesheet entries; act as reviewer rather than data entry clerk.
- Obtain projected labor hours from project leaders to support accurate scheduling.
- Enter hours and assigned resources into ERP software schedule task plan and maintain up-to-date project schedules.
- Monitor task completions against schedule plans and proactively alert leads of projected delays or risks to timelines.
- Assign team members to tasks as directed by leadership; adjust assignments of flexible resources as needed for efficiency.
