Contracts Administration

  • Be a leader in change management responsible for driving the creation and functional set up of Salesforce "Contract Lifecycle Management" (CLM) platform [aka, Salesforce Contracts] to meet ATI's requirements and provide full-circle daily administration support beyond go-live state thereafter to ensure a comprehensive, streamlined contract repository which successfully and effectively synchs with existing Salesforce CRM and other existing technologies to meet operational, marketing, and business development objectives. The purpose of the CLM Platform, goes well beyond the effective management of contract documents. The CLM enables ATI to impress clients at every touchpoint by exceeding client expectations and requirements. Further, the CLM provides immediate access to the necessary information to market our success throughout a client's geographic footprint.Key responsibilities shall include and not be limited to : Facilitating dialogue and foundational understanding by Salesforce Integration (SFI) Team of identified deliverables for CLM as well as areas in corresponding CRM which may need adjustment and / or process improvement to create required efficiencies and fulfill CLM Go-Live Standards and Requirements; identifying key required CLM fields and any potential areas of concern which may require SFI's further discussion to resolve prior to proposed go-live date, collaboration with internal IT Technical Support team for effective testing and driving functional implementation of CLM and creation of a system road map which outlines both future needs and proposed improvements.An essential component of the CLM and CRM will be Property Asset Lists. Property asset lists are critical to our efforts to successfully perform the work, and then spread this good news of our success throughout a client network. The CAM will ensure that the CLM and CRM are developed in such a way as to facilitate the timely uploading and updating of Property Asset Lists for NPA clients. This is critical to fine tuning the search capabilities of the CLM. Further, it will also be necessary to download these Asset Lists to a mapping platform, such as Eigenrisk to identify properties in various geographies, and the impacted by storm and natural events.
  • Driving the creation, compliance, maintenance, and training of standard operating procedures (SOP's) for CLM such as the following : CLM Standard Processing Directives, User Role & Setup Protocols and Administration, as well as CLM's scheduled ongoing maintenance and user-related training and tasks associated with CLM contract processing and database operations.
  • Development of internal business-facing guidance and resources for CLM for internal websites, team sites and customer portals as applicable
  • Development and maintenance of CLM user-related tools, tip sheets and training materials and assisting with the facilitation of staff training of these materials to be used in both Live and Pre-Recorded Training Sessions as applicable for effective CLM administration.
  • Collaboration with internal IT Support with the maintenance and deliverable of all key performance metrics information (KPMI) reporting deliverables for CLM Dashboard to help monitor operational performance; creation of new / emerging fields in CLM as needed, and help identify and correct existing CLM fields which may need to be included in clean-up activities and / or batch overwrites to ensure accuracy in field data captures whenever possible.
  • Assisting NPAC operations with the support of complex contract activity if / when necessary and / or the development of specialized contract vehicles and / or techniques in CLM to accomplish business goals and objectives.
  • Assisting NPAC operations with calibration of contract terms to standard company policies, positions and / or operations as needed across departments due to M&A to ensure proper entry, compliance and adherence is being performed by users in CLM.
  • Assistance with the implementation and maintenance of any other NPAC, Public Sector and / or legal-related contract system technologies if / when the need arises.

Contract Obligations Management & Compliance

  • Develop processes for efficiently extracting obligations from contracts to create actionable data for the Service Level Alignment team and operational teams.
  • Contract compliance associated with various Cooperative Purchasing and Strategic Public Sector Contracts
  • Contracts requiring payment of administrative fees or rebates, whether public or private
  • Build out CLM / CRM capabilities to facilitate : Reporting, communication, and payment of administrative feesTracking all related sales, maintaining contract calendars and ensure compliance.Keep track of contract pricing anniversary dates and update as allowed by each contractTracking of various contract incentive levels and associated volume / other pricing discountsTracking of contract renewal / expiration / re-compete datesTimely and accurate submission of all contract- and job-related deliverables to end-user clients as well as Cooperative Purchasing points of contact when applicableThe development and implementation of local and regional rolloutsPricing, invoicing, and compliance support to operational teamsVerification that client is eligible to use a specific contract vehicleProvide advice / guidance to clients and ATI personnel as to contract selectionIdentification of prevailing wage requirements that must be addressed when applicable, and provide pricing support accordingly
  • Assist with the qualification and / or vetting of Public Sector RFP opportunities.
  • Establish and maintain relationships with Regional Managers, Project Directors, Accounting, Business Development Managers and Office Administration.
