Position Overview
The Executive Assistant (EA) provides support to the Executive Director and Assistant Executive Director. The EA will be responsible for performing a wide range of administrative duties / tasks and assisting with special projects. The ideal candidate is highly self-motivated, professional, friendly, tactful, has excellent organizational skills and capable of managing their workload and prioritizing tasks in a senior living environment.
Essential Job Functions
- Coordinate and organize information within the Administration office suite including answering calls / emails, returning voicemails / emails, scheduling meetings / appointments, maintaining contact lists, and developing systems to support the day-to-day office operations and support the community in remaining in compliance with Licensing.
- Interface with residents, families and staff to provide information about Frank Residences (FR), problem solve and offer general support. Act as the 'gatekeeper' to the Administration office.
- Prepare confidential and time-sensitive materials for meetings, presentations and general distribution.
- Maintain and order supplies for efficient office operations including office supplies, refreshments and other necessary items.
- Develop and maintain an organized filing system for both paper and electronic documents.
- Receive, sort and distribute mail for management office. Prepare and monitor vendor invoices.
- Independently manage and coordinate special projects as directed.
- Provide coverage for other roles, primarily the FR
- Perform a variety of other tasks as assigned related to organizational, regulatory and communication and administrative functions.

Qualifications :
Bachelor's Degree in Business, Communications or related field preferred, or an equivalent amount of professional experienceAt least three years of relevant experience as an executive assistant, ideally in a healthcare settingExcellent oral and written communications skills including the ability to communicate articulately and succinctly with a wide range of constituentsHave a keen interest in working directly with seniors and on projects that will improve the well-being of seniorsExcellent analytical and problem-solving skills (e.g. being resourceful)Demonstrated ability to prioritize multiple tasks and meet deadlinesDemonstrated capacity for project managementAbility to work proactively, both independently and with others in a team environmentAbility to learn and adapt to changes quicklyComputer software skills including proficiency in standard business applicationsPHYSICAL REQUIREMENTS / WORKING CONDITIONS :
