Job Title : Orthodontic Specialist Position Overview :
The Orthodontic Specialist plays a key role in supporting the daily operations of the orthodontic department by providing exceptional patient service and ensuring efficient front-office workflow. This position involves but not limited to, managing patient communications, scheduling, insurance processing, and administrative duties, while also assisting in training and operational support across locations. The Orthodontic Specialist works collaboratively with the PSR, Orthodontic Assistants, TC, and Business Leader to promote a positive, team-oriented environment and deliver an excellent patient experience.
Key Responsibilities :
Patient Experience & Front Office Operations
- Answer incoming calls, schedule consultations and appointments, and respond to patient inquiries with professionalism and empathy.
- Maintain accurate and up-to-date patient records and appointment schedules.
- Ensure a smooth flow of the daily schedule to optimize both patient satisfaction and provider efficiency.
- Serve as a point of contact for patients, ensuring timely communication and coordination of care.
Administrative & Financial Duties
Prepare and submit orthodontic insurance claims accurately and in a timely manner.Assist with verification of insurance benefits and follow up on outstanding claims as needed.Perform various administrative tasks including data entry, documentation, and report preparation.Collaboration & Training
Collaborate closely with the Orthodontic Business Leader in all aspects of training, staffing, and front-office functionality.Provide valuable feedback to improve systems, efficiency, and the overall patient experience.Complete all mandatory training requirements as assigned by the Orthodontic Business Leader through designated learning platforms and tools.Support onboarding and training of new team members as directed.Leadership & Support
Sustain efficient execution and flow of the patient schedule while fostering teamwork among staff.Serve as acting lead for front office operations in the absence of the Orthodontic Business Leader.Anticipate the needs of both patients and team members, performing detail-oriented tasks to maintain seamless operations.Travel & Flexibility
Travel between office locations as needed to provide coverage, training, or operational support.Adapt to changing priorities and office needs while maintaining a high level of professionalism.Qualifications :
Prior experience in orthodontic or dental front office operations preferred.Strong organizational, communication, and multitasking skills.Proficiency in dental / orthodontic practice management software and insurance claim processing.Ability to work independently and as part of a collaborative team.Professional demeanor, positive attitude, and commitment to excellent patient care.Reports To :
