Faculty / Staff Mail Center Coordinator
Under the direct supervision of the Printing & Mail Services Manager, the Coordinator is responsible for the daily operations of the Faculty / Staff Mail Center and the Student Postal Center. Together, these operations process more than 250,000 pieces of outgoing mail and 250,000 incoming packages and letters annually. The coordinator provides leadership and oversight for 2.5 FTE staff and approximately 30 student employees. This role requires exceptional customer service skills and the ability to interact effectively with students, parents, faculty, staff, external vendors, the U.S. Postal Service, and campus partners.
The coordinator ensures both mailrooms operate smoothly and efficiently, maintaining consistent hours of service and established service standards. Responsibilities include recruiting, hiring, training, supervising, and evaluating employees; managing schedules and payroll; and overseeing invoice submission through USHOP as well as funding for the university's mail permit. The coordinator serves as the primary point of contact for escalated customer service concerns and is responsible for resolving issues promptly and effectively.
In partnership with the Printing & Mail Services Manager, the Coordinator develops and monitors departmental budgets, performs cost analyses and rate reviews to ensure accurate customer chargeback fees, and prepares cost estimates for mailing projects. The role also requires administering mailing software programs and ensuring regular updates are completed. Proficiency with mailroom technologies is essential, along with the ability to remain current on evolving tools and practices to recommend cost-effective solutions that improve efficiency and service delivery.
