Collections Specialist – Job Description

Overview :

The Collections Specialist is responsible for managing past-due accounts, contacting customers to resolve outstanding balances, and ensuring timely payment of invoices. This role requires strong communication skills, attention to detail, and the ability to handle difficult conversations with professionalism and empathy.

Key Responsibilities :

Contact customers via phone, email, and mail to follow up on past-due accounts and request payment.

Make a high volume of outbound collection calls while maintaining a positive and respectful approach.

Research and resolve account discrepancies or disputed charges.

Negotiate payment plans and document all collection activities.

Update account records with accurate notes and payment information.

Collaborate with internal teams (Accounting, Sales, Customer Service) to resolve issues impacting payment.

Escalate chronic delinquencies or complex cases as needed.

Prepare weekly or monthly reports on collections status and aging accounts.

Qualifications :

Previous experience in collections, accounts receivable, or customer service preferred.

Strong phone communication and negotiation skills.

Ability to remain calm and professional in difficult conversations.

High attention to detail and organizational skills.

Proficiency with Microsoft Office, ERP systems, or billing software.
