Financial Assistant Project Manager Position Summary

Wieland's Financial Assistant Project Manager takes ownership of and focuses on project financials to ensure successful project completion. They work directly with all members of the Wieland project team to coordinate the financial aspects of construction from Pre-Construction through project close-out. They serve as the communication and coordination link between the Wieland Project Team, Owner, Architect, and Subcontractors. Our Assistant Project Managers are involved in all functions of construction management, gaining experience and knowledge to support every project team.

Job Functions

• Interact regularly with owners, project teams, and subcontractors regarding billing questions, issues, and daily requests.
• Maintain positive relationships with clients and subcontractors.
• Oversee document control related to project-specific documents, subcontracts, change orders, and insurance certificates, including tracking and compliance.
• Prepare owner and subcontract change orders.
• Review all subcontractor AIA billings monthly, administer revisions, and request additional documentation as needed.
• Prepare owner invoices monthly, reconciling job costs, sworn statements, and AIA billing documents promptly.
• Assist in preparing the monthly Owner / Architect / Contractor (OAC) meeting agenda.
• Oversee and assist with invoice entry.
• Select subcontractors / suppliers for payment upon owner funding arrival.
• Manage lien administration duties, including waiver tracking and electronic filing for subcontractors and suppliers.
• Perform project projections and budget reconciliation with the project team monthly, alerting CFO and Regional Director to concerns or trends.
• Create and distribute meeting agendas and minutes.
• Manage RFI communications efficiently, ensuring no significant delays.
• Create bid packages, distribute bid documents, and clarify bid questions with contractors.
• Conduct post-bid interviews to verify scope, schedule, and cost, aiding in subcontractor selection.
• Finalize quotations to ownership, including general conditions.
• Manage and update submittal logs and related workflows.
• Distribute updated drawings and specifications to all relevant parties.
• Monitor change order management throughout the project.
• Reconcile accounting and project management software as needed.
• Prepare and update project start-up meetings.
• Assist with project closeout documentation, including punch lists, as-built drawings, and owner files.
• Complete internal project closeout documentation, including lien waivers and subcontractor reconciliation.
• Maintain organized project files for easy retrieval.
• Attend and prepare documents for start-up and closeout meetings, including contract finalization, warranties, manuals, and as-built drawings.
• Assist with project setup related to budget and owner contact values.
• Update project schedules and monitor subcontractor compliance.
• Support project buyout activities, including creating budgets and issuing subcontracts.
• Communicate and provide training and support to project teams.
• Participate in training and continuous improvement initiatives.
• Perform additional duties as directed by owners and project executives.
