Inventory Specialist (Fine Jewelry & Watches)
Hourly Pay : $24$29 per hour Schedule : Full-Time, MondayFriday (Occasional Saturdays), 9 : 00 A.M. - 6 : 00 P.M.
Additional hours during peak selling seasons (e.g., December Sundays, evening events) Location : Louisville, KY (On-site only, 9901 Forest Green Blvd, Louisville, KY 40223)
Our client, Davis Jewelers, is Louisville's premier luxury jewelry store, is hiring an Inventory Specialist to support the accuracy, flow, and documentation of high-value merchandise across bridal, fine jewelry, fashion, watches, and designer collections. This position works closely with the Inventory Shipping / Receiving team, the sales team, and vendors to maintain flawless systems, accurate data, and secure product handling.
This is a high-accountability role requiring precision, time management, and exceptional administrative and data entry skills. The ideal candidate is trustworthy, laser-focused, tech-savvy, and comfortable working in a fast-paced luxury retail environment where every detail matters.
Key Responsibilities
Special Orders & Project Management (High Volume)
- Manage the full lifecycle of special orders across all product categories :
- Bridal : engagement rings, loose diamonds, semi-mounts
- Wedding bands : custom, precious metal, non-diamond
- Fashion jewelry : gemstone, diamond, precious metal, and price-pointed
- Watches (various brands)
- Miscellaneous and custom requests
- Track timelines, lead times, documentation, and customer updates.
- Communicate with over 100+ active vendors, each with unique processes.
- Ensure every special order is accurate, documented, and meets QC standards before delivery.
- Support internal teams (sales, merchandising, operations) with up-to-date order status.
Inventory Data Entry & Category Management
Maintain accurate, real-time inventory across multiple categories and collections.Perform stock balancing, product adjustments, cycle counts, and discrepancy resolution.Update The Edge CRM with item details, metadata, and SOP-driven descriptions.Assist with product identification and categorization during collection updates.Monitor product movement across shared spaces and departments.Quality Control (QC)
Inspect all new merchandise, custom items, repairs, and special orders for :ConditionAccuracyStone integrityCorrect materialsCompleteness of documentationFlag and resolve issues with vendors or internal teams before items reach customers.Shipping, Receiving & Insurance Documentation Support
Provide backup support to the Shipping & Receiving lead.Process all incoming and outgoing shipments with extreme accuracy.Verify packing lists, invoices, and vendor documentation.Ensure all outgoing items are correctly processed through insurance platforms (critical requirement).Maintain complete documentation for everything that ships out of the building.Follow all SOPs related to routing, packaging, and secure merchandise handling.Operational Oversight
Monitor backdoor deliveries, vendor arrivals, and visitors to maintain security compliance.Maintain clean, organized, and accurate stock across showcases, vaults, and storage areas.Keep leadership informed of inventory updates.Adapt to evolving processes, technology updates, and new inventory projects.Provide administrative support to the inventory team to keep operations smooth and efficient.Qualifications
Required
2+ years in inventory control, stockroom, shipping / receiving, product operations, or administrative supportStrong administrative and data entry skillsHigh level of accuracy, precision, and attention to detailAdvanced organizational and time management skillsComputer savvy and comfortable with changing technologiesProficient in Microsoft 365 (especially Excel and Planner)Ability to work in a fast-paced, high-volume environmentAbility to follow strict security and insurance protocolsHigh integrity and trustworthinessMust be able to lift and move boxes, open and close packaging, and perform tasks requiring good manual dexterity.Responsibilities also include breaking down boxes and maintaining workspace organization.Must pass criminal background check and financial background checkCandidates must be comfortable working in a high-security, camera-monitored environment with a shared office spacePreferred
