Construction Administrative Assistant

  • Location : Chatham, NJ
  • Salary : $60,000$65,000 per year
  • Schedule : Full-time, Direct Hire

Our client, a well-established construction and real estate development firm, is seeking an Administrative Assistant to join their collaborative, team-oriented office in Chatham, NJ. This is an excellent opportunity for someone with experience in construction or real estate who enjoys working in a fast-paced, detail-driven environment.

Responsibilities :

  • Provide administrative support to project coordinators, managers, and executives within the office.
  • Handle incoming calls, correspondence, and emails with professionalism and accuracy.
  • Prepare and maintain project documentation, including contracts, warranties, guarantees, and related records.
  • Assist in the bid process using Excel, ensuring all proposals and supporting documents are properly formatted and submitted on time.
  • Interact with vendors, subcontractors, and clients to obtain and organize required documentation.
  • Support project tracking and reporting using Procore software (required).
  • Help manage the flow of information between departments, contractors, and field teams.
  • Draft and edit letters, memos, and other communications as needed.
  • Maintain organized digital and paper filing systems.
  • Assist with light accounting or invoice tracking tasks as directed.
  • Qualifications :

  • 2+ years of experience in an administrative or project support role within the construction or real estate industry (required).
  • Procore software experience preferred.
  • Experience with Sage or Timberline is a plus.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Strong written and verbal communication skills.
  • Excellent attention to detail, organization, and follow-through.
  • Ability to manage multiple priorities and deadlines in a team-based setting.
  • Professional, positive, and proactive attitude.
