Job description

The Burlington County Department of Corrections is seeking to fill a full-time Secretary for the Warden, who can maintain strict confidence and is sensitive to HIPAA compliance; must have a positive attitude and approach to all situations and requests. Must be well organized and have the ability to effectively communicate with colleagues and partners.

Under supervision of the Warden, the selected candidate will be responsible for the following :

  • Provide clerical support to the Warden, including but not limited to Preparing Requests for Proposals in advance of Public Board Meetings, Resolutions, Conference Memos, copying and scanning documents as needed; filing, answering phones and directing calls to the appropriate person, and taking messages.
  • Record retention duties include : Requesting, storing, and maintaining files through the Records Information Management System.
  • Submit maintenance work orders, equipment repairs, and print shop orders for the facility.
  • Maintains calendars for Warden and Administrative Captain, schedules and facilitates meetings.
  • Prepare internal and external memos at Warden’s direction.
  • Maintains a liaison with other County Departments such as HR, Benefits, Payroll, Risk Management, and I.T. and assist with communicating and disseminating information.
  • Receive, sort, and process incoming mail.
  • Coordinate and compile reports and statistics to prepare the Warden’s Monthly report.
  • Other duties as assigned.

Skills :

  • Must be detail orientated and be able to accurately process all paperwork in a timely manner.
  • Must be proficient in Microsoft Word & Excel.
  • Hours :

  • 40-hour work week : Monday-Friday, 7 am-4 pm; with an assigned 1-hour lunch break.

    Note :

    Thorough on-the-job training will be provided.

    This position is located in the Administration Office within the detention facility. Applicant must be comfortable in correctional setting, with the professional ability to work with correctional staff and administration, court administration, and inmates.

    Must successfully pass criminal background check.
