Role Overview
We are seeking a detail-oriented and proactive AR, Credit, and Collections Representative to join our finance team. In this role, you will manage accounts receivable processes including collections, tax certificate review, payment processing, and order release verification. You will also provide backup support for other accounting functions and ensure that all transactions are handled with accuracy and professionalism.
Key Responsibilities
Aging & Collections
Contact customers via phone / email regarding past due invoicesFollow up to obtain full payment information and ensure payment matches total dueProvide copies of missing invoices as neededEscalate unresolved issues to appropriate departmentsLocate alternative contacts if primary contact is unresponsiveReview and manage orders on hold due to payment or verification issuesContact customers for payment details and release orders upon approval
Verify new customer orders for fraud prevention and release as appropriateTax Certificate Management
Review and validate tax-exempt certificatesCommunicate with customers regarding any required correctionsUpload valid certificates to tax software system and create new accounts if necessaryRemove tax from qualifying transactionsPhone & Email Support
Answer incoming calls from the credit queue and assist customersProcess credit card payments over the phoneManage shared credit / AR inbox, responding to or escalating inquiries as neededAccounting Support (Backup for Jamie)
Post lockbox, ACH, and check payments for USD and CAD accountsGeneral Administrative Duties
Mail invoices dailyManage the front counter dailyReconcile counter cash boxFile packing slipsMail monthly statementsQualifications
2+ years of experience in Accounts Receivable, Credit, or Collections preferredStrong communication and customer service skillsProficient in Microsoft Office Suite (Excel, Outlook)Familiarity with Avalara or similar tax software is a plusHigh attention to detail and organizational skillsAbility to prioritize and manage multiple tasks in a fast-paced environmentBENEFITS :
