  • The salary of the finalist selected for this role will be set based on a variety of factors, including but not limited to departmental budgets, qualifications, experience, education, licenses, specialty, and training.     Position Summary

    The Office of the Vice Provost for Faculty Advancement promotes and nurtures a vibrant climate of inclusive excellence through creative collaboration with University partners.     Reporting to the Vice Provost for Faculty Advancement, the Associate Provost for Faculty Advancement is responsible for facilitating all aspects of office planning, development, and implementation necessary to successfully administer the university's Faculty Advancement portfolio. Responsibilities will include, but are not limited to : a) collaboration with the Vice Provost for Faculty Advancement in leading, planning and coordinating Columbia's ongoing commitment to attracting, supporting, advancing and retaining faculty; b) facilitating centrally managed faculty development programming; and, c) long-term strategic planning with the leaders of each of Columbia's Schools to evaluate and strengthen their faculty initiatives.

    Responsibilities

    Program and Personnel Administration : Lead responsibility for overall team management, including organizing team meetings and retreats, developing a master calendar and office handbook and providing coaching and training for junior staff. Lead responsibility of the launch, implementation and independent management of the Faculty Mentoring Awards program, including preparation and dissemination of requests for nominations to deans and their representatives; responding independently to inquiries from faculty members and administrators; reviewing applications for completeness and securing missing items; organizing and managing review processes; drafting award correspondence to faculty; overseeing the preparation of formal award documents, and follow up procedures; developing and disseminating sensitive and / or mass communications concerning office initiatives. The Associate Provost is responsible for overall team management, setting strategic goals in the Office of the Vice Provost for Faculty Advancement, overseeing the development and establishment of policies and procedures, including an office handbook, and provides coaching, training, and career development for junior staff. The incumbent also has the lead responsibility in assisting the Vice Provost in their role as Chair of the Provost's Advisory Council for Faculty Advancement that reports to the Provost. They participate in meetings and conference calls with the Provost, Vice Provost, and faculty members from the Council. Lead the preparation of presentations to the Council : helping to conceptualize their flow, preparing multiple iterations under tight deadlines in response to feedback, and creating slides to convey important data in a clear and understandable way.

    Faculty Management : Oversee the development and promotion of a suite of community-building programming for faculty across the University, partnering with Provost's Office colleagues, including the Office of Work / Life, the Center for Teaching and Learning, Columbia Libraries, and the Office of the EVP for Research, and others.

    Meetings and Events : Oversee the organization of meetings involving the Provost, Vice Provosts, and other senior faculty / administrators (most notably, a newly created Faculty Deans workgroup). Lead the Assistant Directors and the office's Administrative Manager in their meeting and event-related responsibilities. Oversee the completion of their tasks related to career development events for junior faculty across the university, major conferences, and other faculty and diversity-related special events. Lead collaborative efforts to develop new programming that is attuned to the needs of the populations we serve (e.g., programming for underrepresented faculty, first-generation individuals).

    Website / Other Media : Lead the conceptualization and development of content for the newly launched office website, including development of a new faculty diversity data dashboard and faculty calendar. Lead the Assistant Directors in the management of the office's social media presence (e.g., Facebook page, Twitter). Serve as the primary liaison to the relevant CU offices (e.g., CUIT, Planning and Institutional Research) to develop and maintain a robust web presence.

    Financial Management : Oversee the processing of travel / business expense reports and supply / equipment orders, as performed by the office's Administrative Manager (direct report). Assist with funds transfers to awardees of the various programs administered through the Office.

    Faculty Data Analysis and Presentations : Conceptualize and conduct both recurring and ad hoc faculty data analyses for use by the Provost, Vice Provost and other high-level constituents. Serve as the primary liaison to the Offices of Planning and Institutional Research, Academic Appointments and Faculty Affairs to develop and maintain consistent data-related protocols (e.g., data cleaning, data sharing). Develop presentations to be delivered by the Vice Provost to the University's Board of Trustees and other key stakeholders. Translate data findings into materials appropriate for the broader Columbia community and other, lay audiences.

    Research / Publications : Lead the compilation and synthesis of research, often on tight timelines, on a wide range of topics, such as diversity faculty search and hiring practices at other universities, ways in which peer institutions present faculty demographic data to internal and external audiences, and policy statements on diversity initiatives and affirmative action. Translate research into resources / publications for faculty and other constituents. Supervise graduate interns and junior staff assisting with research.

    Supervision : Directly supervise the work of the Assistant Director of Faculty Advancement, the Assistant Director for Faculty Diversity and Inclusion, the Director of Inclusive Faculty Pathways , the Associate Director of Finance and Operations , the Program Manager, and casual staff members, including coaching / counseling, and career development.

    Other related duties as required.

    Minimum Qualifications

    • Bachelor's degree required. Minimum 8-10 years of related experience; preferably in Higher Education.
    • An advanced degree is desirable.
    • High level of discretion and ability to maintain the confidentiality of sensitive information.
    • Ability to work with all levels of administrative staff, faculty, and external constituents.
    • Demonstrated track record of providing project management, data analysis, and / or research.
    • Excellent writing skills required, including the ability to write well for various audiences. Skilled in the use of Excel and PowerPoint. Proficiency with website development / maintenance is desirable.
